This position involves bilingual (French and English) technical writing, and coordination support of major RFQ and RFP submissions for projects led directly by Aecon or working closely with other strategic partners. Position primarily supports bids within the province of Quebec and Atlantic provinces in the infrastructure segment (roads, bridges, transit systems, rail, heavy civil, etc.) but may require support for Aecon’s mining, hydro, and/or energy segments.

What You'll Do Here:
  • Prepare technical proposal write-ups for various construction related topics (methodologies, risk management issues, staff management, work plans, cover letters, summaries, etc.). Additionally, new information may need to be prepared and/or reviewed based on discussions with subject matter experts
  • Oversee the technical writing, formatting, and proofing/editing of proposals based on input from multiple authors in both French and English
  • Translation of technical writing and documents from French to English and vice versa
  • Ensure proposal content is relevant and compliant with client/proposal specific requirements
  • Organize and schedule team meetings, prepare meeting agendas and take meeting minutes
  • Time allocation for this position is approximately 70% reading/writing/editing/formatting/translating and 30% organizational related activities
  • Review and develop a detailed understanding of client bid requirements
  • Develop proposal calendars and responsibility matrices.
  • Create proposal templates, resume templates, project sheet templates
  • Prepare, edit and format in both French and English proposal sections, resumes, and project sheets in preparation for proposal close-out
  • Support machine translation software data and training
  • Track and ensure timely proposal deliverables required from internal and external partners, examples include health and safety forms, proposal forms, finance support letters, write-ups from various authors, etc.
  • Review existing proposal content, project work plans and other relevant sources of information to extract relevant content
  • Perform continuous compliance checks on all submittal documents
  • Organize Team Reviews on behalf of the project team (i.e. Red Team / Gold Team Reviews)
  • Work with graphics designers to develop JV logos, binder and tab designs etc. and present to consortium
  • Ensure binders, USBs, tabs, covers and other required materials are ordered and available for final assembly of the proposal
  • Manage data and input in “Data Rooms” or “SharePoint” sites (input from client, and all bid partners)
  • Attend pre-bid meetings and post-bid debrief meetings. Summarize results & lessons learned, report back to the project team
  • Print, bind and deliver final bid submissions
  • This position operates in a deadline driven environment
  • Working both remotely and in person as required to fulfill duties and responsibilities
  • Some travel across Canada and/or USA may be required
What You'll Do Here:
  • Experience or background with Civil, Structural, related technical discipline, or relevant construction experience- Required
  • Strong verbal and written communication in both French and English - Required
  • High degree of organizational skills – Required
  • Advanced skills in Word – Strong advantage
  • Skills in Excel, Visio, InDesign - Advantage
