Role Overview:
The Receptionist/Administrator will play a key role in supporting our operational and management teams. This role requires a highly organised individual with at least 2 years of administrative experience, preferably in the construction sector.
Key Responsibilities:
· Answer incoming calls, transfer to the relevant individuals, and relay accurate messages in a timely manner.
· Make outgoing calls.
· Handle incoming and outgoing mail.
· Maintain a log of all customer queries to ensure accurate tracking and timely resolution.
· Respond promptly to queries, providing accurate information about company services.
· Escalate complex queries or complaints to the relevant team or manager when necessary.
· Maintain a helpful and customer-focused approach when dealing with all queries.
· Liaise with subcontractors, clients, project teams, and other project disciplines to ensure effective communication and timely receipt of required documents.
· Maintain site records, compile handover files for homeowners, and ensure compliance with NSAI audit requirements.
· Manage the Managing Director’s diary and coordinate internal/external meetings.
· Meet and greet visitors, ensuring registration and a professional reception experience.
· Work with MS Office, Adobe Acrobat and Procore, assisting team members as needed.
· Perform general administrative duties such as printing, filing, maintaining records, and generating reports.
Qualifications: Diploma or certificate in Office/Business Administration is an advantage but not essential; proficiency in Microsoft Office, Adobe Acrobat, and Procore is desirable, with training provided.
Experience: 2–3 years in an administrative role preferred. Experience in the construction sector is an advantage.
Skills: Strong communication, organisational, customer service, time management, attention to detail, problem-solving, and technical proficiency.
