Accounting and Operations Administrative Coordinator (100% Remote)
Pay: ₱25,000 – ₱30,000 per month
Type: Independent Contractor (Up to 40 hours/week)
Work Setup: 100% Remote – Work from Home
Time Zone: Eastern Standard Time (EST/EDT)
Shift Hours Available: 9:00 AM to 5:00 PM EST/EDT
Location: Philippines (Remote)
About the Role: We are seeking a detail-oriented and execution-focused Accounting and Operations Administrative Coordinator to support operational workflows, vendor and partner relationships, and internal financial processes. This role is ideal for someone who thrives on managing complex workflows, maintaining accurate financial records, and ensuring smooth operations in a fully remote setting.
Key Responsibilities:
- Support invoicing, vendor payments, expense tracking, and basic financial analysis.
- Maintain financial records, track transactions, and support reconciliation and reporting using accounting software.
- Support day-to-day operational initiatives, including workflow management and project execution.
- Manage relationships with vendors, partners, and external stakeholders, including communications, scheduling, and documentation.
- Take ownership of work prioritization and tasks allocation, with minimal supervision.
- Escalate problems outside of your control to board members and volunteers.
- Resolve all issues at your own level
- Maintain a resilient mindset and behavior, remaining always professional under pressure.
- Ensure business continuity to the robust documentation of standard work flows and processes.
- Create and deliver visual management reports and product delivery, including KPIs.
- Assist with onboarding and coordination of vendors and program partners.
- Keep an organized virtual workspace with thorough documentation and record-keeping.
- Provide administrative support, including meeting coordination, notes, and recaps.
- Collaborate with team members to ensure continuity across shared responsibilities.
Minimum Qualifications:
- Bachelor's Degree in Accounting, Finance, Business Administration, or related field.
- Master's in accounting or Business Administration (Preferred).
- 3 years of QuickBooks Online and/or Desktop application.
- 3–5 years of experience in operations, accounting, or administrative roles.
- Strong organizational, time management, and multitasking skills.
- Self-starter, proactive, and detail-oriented.
- Strong written and verbal communication skills.
- Comfortable problem-solving and working independently in a remote environment.
- Proficiency in Microsoft Office, Google Suite, Dropbox, Monday.com, and Salesforce.
- Experience with project management software (Trello, Asana, GoodDay, Planner).
- Experience with EOS Management Systems is a plus.
