About the Role
CleaningMachines.ie is looking for an experienced, capable, and highly organised
- Accounts, Purchasing & Finance Administrator
to join our growing team.
This is a key role within the business, working closely on the day-to-day financial and administrative running of the company. You will be involved in both sides of the ledger and will support management with financial reporting, supplier coordination, purchasing, and general accounts administration.
This role will involve daily interaction with the CEO, CFO, management team, suppliers, and creditors, and would suit somebody who is comfortable taking ownership, staying on top of deadlines, and keeping the accounts function running smoothly.
This is a varied role with real responsibility and would suit somebody who enjoys working in a fast-paced business where no two days are the same.
Key Responsibilities
- Managing purchase ledger and supplier accounts
- Processing supplier invoices, credit notes, and statements
- Reconciling creditor accounts and resolving account queries
- Chasing statements and dealing with suppliers by phone and email
- Placing purchase orders and coordinating with suppliers on deliveries and logistics
- Supporting stock purchasing and ensuring paperwork is correct
- Assisting with VAT returns and general Revenue-related administration
- Preparing regular financial and profitability reports for management
- Assisting with management accounts and internal reporting
- Monitoring margins, costs, and financial performance across the business
- Liaising daily with the CEO and CFO on priorities, reporting, and follow-up actions
- Acting as administrative support / PA support to senior management when required
- Supporting cash flow visibility through accurate account management
- Maintaining organised, accurate financial records and filing systems
- Working with internal departments to ensure financial controls and procedures are followed
- General accounting and office administration duties as required
What We’re Looking For
- Previous experience in an accounts / finance / bookkeeping role
- Strong understanding of purchase ledger, creditors, reconciliations, and general accounts administration
- Experience with VAT returns and day-to-day accounting duties
- Comfortable dealing with suppliers, creditors, and management by phone and email
- Strong attention to detail and high levels of accuracy
- Highly organised with the ability to manage multiple tasks and deadlines
- Good commercial awareness and understanding of profitability
- Professional, reliable, and confident in dealing with senior management
- Strong IT skills and experience using accounting / ERP systems
- Ability to work on your own initiative and take ownership of responsibilities
- Experience in a busy office, distribution, logistics, or commercial environment would be an advantage
Desirable
- Accounting technician, bookkeeping, or finance qualification
- Experience preparing management reports
- Experience working closely with senior leadership
- Experience in purchasing, logistics, or stock-related administration
