We are seeking a detail-oriented and proactive Admin Executive (Purchasing & Logistics Operations) to support our procurement, logistics, and supply chain functions. This role is ideal for someone with hands-on experience in purchasing and import/export coordination, who thrives in a fast-paced operational environment and enjoys working with both internal teams and international partners.
RESPONSIBILITIES
Purchasing & Procurement
- Raise and manage purchase orders to ensure timely delivery
- Maintain accurate supplier and pricing records in ERP systems
- Source and evaluate alternative suppliers to improve cost efficiency and supply reliability
- Ensure all purchased goods meet quality and specification standards
Logistics & International Coordination
- Coordinate inbound and outbound shipments, including import/export documentation
- Work closely with freight forwarders, shipping agents, and customs brokers
- Track shipments proactively and resolve delays or discrepancies
- Ensure compliance with international trade regulations, including Incoterms and customs requirements
- Support inventory planning and stock replenishment activities
Sales Fulfilment & ERP Operations
- Process sales orders accurately in the ERP system
- Coordinate across sales, warehouse, and finance teams to ensure smooth order fulfilment
- Maintain accurate data for inventory, orders, and shipments
- Generate operational reports to support business decision-making
Documentation & Compliance
- Prepare and verify shipping and trade documents (invoices, packing lists, bills of lading, permits, etc.)
- Maintain proper records for audit, compliance, and traceability purposes
- Ensure adherence to company policies and regulatory requirements
REQUIREMENTS
- Diploma or Professional Certificate in Business Administration, Logistics, Supply Chain, or related field
- 1–3 years of experience in purchasing, logistics, or supply chain operations
- Hands-on experience with import/export documentation and procedures
- Familiarity with freight forwarding, customs processes, and international suppliers
- Strong understanding of Incoterms and supply chain basics
- Proficient in Microsoft Office (especially Excel and Word)
- Strong coordination, problem-solving, and multitasking abilities
- High attention to detail and ability to work in a fast-paced environment
