The Organisation:
Civtec was established 2014 and has had a strongly upward trajectory since then. Civtec provide, telecommunications, directional drilling, and utilities works. Since inception we have continued to diversify and now have capabilities covering a range of services and technologies servicing the residential, commercial, and industrial sectors. We have a dedicated team of Field Technicians, Designers and Engineers together with the latest technology and high-quality machinery provide civil and undergrounding services.
The Role:
As Administration Assistant, you will be responsible for providing direct support to the Christchurch Switch Operations Manager while ensuring the day-to-day smooth running of the office. This role demands have a high degree of accuracy, confidentiality, and output; being able to multi-task and develop relationships across the business.
This is part-time; fixed-term position, requiring approximately 25-30 hours per week.
Tasks include:
- Prepare PowerPoint presentations and complete monthly reporting.
- Support with the planning and successful execution of events; supporting with technical requirements, set up, clean up and liaising with third parties.
- Record and provide accurate meeting minutes; prepare agendas and organise meetings.
- Support with onboarding (induction) and offboarding processes.
- Support with general record keeping and communication using various Microsoft platforms (Excel, Word, PowerPoint, Teams, Outlook).
- Oversee office and communal areas ensuring day-to-day tidiness.
- Support with distribution and storage of PPE; pool car allocation and distribution/collection of other items (keys; building access information; cabinet keys; ID cards).
- Liaise with key internal and external stakeholders; and liaise with key office suppliers (ie. OfficeMax; Cleaners; Water-filter; Milk Suppliers and Vending Machine).
- Complete accurate and timely credit card and reimbursements.
- Book flights, accommodation, and transportation; order and collect IT and other general items as required.
- Always maintain a high degree of confidentiality.
- Work to promote and support the internal culture and key company initiatives.
- Be a champion and advocate for Civtec.
To be successful in this role, we are seeking candidates with:
- Demonstrated experience in similar administration role.
- Proficient in recording meeting minutes; preparing presentations and maintaining documentation to a high standard.
- Proficient in MS Excel, Word, PowerPoint, and able to pick up other software programmes quickly.
- Meticulous, organised and extremely professional.
- A self-starter who is task focused, highly motivated and able to stay on track to deliver to a high standard.
- Excellent written and verbal communication and interpersonal skills.
- Proficient in proof reading and supporting the preparation of documents and reports.
