Overview
We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our association by providing exceptional administrative support. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a high level of professionalism and attention to detail.
This is a work from home position where a home office is required however travelling to events, meetings and errands is also needed. The successful candidate must be residing in Halifax Regional Municipality. This is a permanent full-time position. Reporting directly to the Executive Director (ED), the successful candidate must have a positive attitude, extremely organized, self-motivated, have the ability to take direction and work independently, as well as maintain the desire to support the association's and its initiatives on a daily basis. In addition to working closely with the ED, Board of Directors and Committee’s on moving the Association’s missions forward, the successful candidate will be responsible for office administration as well as assist with all areas of Concrete Atlantic’s events, bookkeeping and meetings. Some evening and weekend hours will be required for events.
The purpose of Concrete Atlantic is to unite persons, firms and corporations related to the production of ready mixed concrete in the Atlantic Provinces, in a non-profit association to:
· promote and encourage the use and consumption of the products of the industry in the market area of this Association;
· establish and maintain the highest standards of business practices, customs and usage among its members; and
· promote and encourage the exchange of ideas and information relative to production and use of ready mixed concrete.
Duties
- Responsible for all general office administration including, but not limited to: answering phones and emails, maintain a documentation and filing system, running errands, handling requests and queries in a timely manner.
- Preparing cheques and processing EFT payments
- All accounting functions including, invoicing, record keeping, accounts payable, collecting of receivables, budget management, and preparation of information for Concrete Atlantic’s Accountant and Auditors.
- Work closely with the Executive Director in the planning, preparation, and management of all Association events, meetings, and educational seminars.
- Assist with the development and implementation of marketing & communication initiatives that promote the association and its members. This includes the association’s website, newsletter and email communications.
- Preparing and formatting information for distribution. This may include writing letters and memos, compiling data for reports, creating presentations, assisting with editing, proofreading and writing reports.
- Support day‐to‐day contact with members, sponsors and partners.
- Manage educational programs / databases and ensure material gets distributed in a timely manner
- Minute taking and recording for meetings
- Maintain membership and event databases.
- Represent the association and its membership at trade shows or industry events.
- Any other duties as directed by the Executive Director, Board of Directors, and its committees.
Skills
Post-Secondary Education in a related area
5+ years of experience.
Effective communication, organization, and writing skills is essential
Knowledge of MS Office, Sage/Simply Accounting is essential
Familiar with Constant Contact an asset
The ideal candidate must have a reliable vehicle and the ability to do some travel mainly within Atlantic Canada.
Must have the ability to multitask and prioritize a daily workload, while working alone or within a team environment.
