Job Summary
We are seeking a highly organized, detail-oriented Administrative Assistant to provide direct support to our Company President. This role is critical to keeping daily operations running smoothly and requires someone who is proactive, professional, and comfortable working across multiple departments, especially within a transportation and logistics environment.
The ideal candidate is a problem-solver who can manage competing priorities, handle confidential information, and serve as a reliable “right hand” to executive leadership.
Key Responsibilities
Executive & Administrative Support
- Send end-of-day follow-up emails to customers and internal staff
- Manage and prioritize emails
- Compile follow-up needs
- Assist with travel planning and coordination
- Run company errands and provide general executive support
Operations & Logistics Support
- Assist with operations dispatch support
- Assist with HR driver files
- Prepare and review reports for customer locations
- Support fleet maintenance, safety, and compliance documentation
Accounting & Reporting
- Assist with QuickBooks reports
- Perform accurate data entry and document management
Cross-Department Support
Collaborate and provide administrative assistance across departments including:
- Marketing
- Sales & Prospecting (HubSpot/CRM)
- Accounting
- Operations
- Recruiting (resume screening and candidate qualification)
- Fleet Maintenance / Mechanics
- Safety
- Purchasing
Required Skills & Qualifications
- Strong customer service skills
- Exceptional organizational skills and attention to detail
- Professional demeanor with strong written and verbal communication
- Proficiency in Microsoft Office (Excel, Word, OneNote, PowerPoint)
- Ability to manage multiple tasks in a fast-paced environment
- High level of discretion and confidentiality
Preferred Qualifications
- Understanding of Transportation & Logistics (strong plus)
- Experience supporting executive leadership
- Familiarity with fleet management or safety systems
- Experience with CRM systems, preferably HubSpot
