Position Overview

Wilson Lighting is seeking an experienced Administrative Assistant with Accounts Payable experience to support our accounting and operations teams. This role is ideal for a highly organized professional who excels at administrative coordination, document management, and accounting support in a fast-paced, detail-driven environment.

The position is administration-forward, with Accounts Payable responsibilities focused on support, accuracy, and coordination rather than ownership of payment processing.

Key Responsibilities

Administrative & Office Support (Primary Focus)

  • Provide day-to-day administrative support to management and accounting teams
  • Manage data entry, filing, record retention, and document organization
  • Coordinate internal communication between showrooms, service, and accounting
  • Assist with reporting, tracking, and spreadsheet maintenance
  • Answer phones and route inquiries professionally
  • Support scheduling, correspondence, and general office operations
  • Identify opportunities to improve administrative workflows and processes

Accounts Payable Support (Secondary Focus)

  • Enter vendor invoices into accounting system accurately and timely
  • Match invoices to purchase orders and receiving documentation
  • Assist with resolving invoice discrepancies in coordination with accounting
  • Maintain organized and auditable A/P documentation
  • Support month-end close activities as requested
  • Communicate professionally with vendors as needed

Qualifications & Experience

  • 3+ years of administrative support experience in a professional office environment
  • Prior Accounts Payable or accounting support experience required
  • Strong organizational skills with exceptional attention to detail
  • Proficiency in Microsoft Office (Excel required)
  • Experience with accounting or ERP systems preferred
  • Ability to manage multiple priorities and deadlines
  • Positive, dependable, and team-oriented work style

Pay: $22.00 - $30.00 per hour

Expected hours: 30.0 – 40.0 per week
