Administrative Assistant/Receptionist

An immediate opening for a PERMANENT PART TIME (all year round). **NOTE, not hiring seasonal staff ** Medical Receptionist/Administrative Assistant position in a busy Physiotherapy and Rehabilitation Clinic. Your ability to manage competing priorities, be detail oriented, and to handle multiple tasks effectively will drive your success in this position. Some basic bookkeeping experience is helpful but not necessary. The successful candidate will be able to take initiative, be dependable and must be able to work evenings (shifts to 8pm), be available to cover the other office hours if other receptionists are not available (with enough notice) and Saturday shifts.

In this role, you are expected to (but not limited to):

* Answer calls, correspond via email, and assist with walk-in inquiries

* Booking initial assessments and follow up visits and billing of appointments

* Experience with booking and billings software would be an asset

* Using practice management software (Clinicmaster) and data entry (training will be provided)

* A competent knowledge of the services that are provided in the clinic and the ability to explain them to potential patients

* Accepting multiple methods of payment via merchant terminal

* Ensure prompt and effective service is maintained by monitoring and responding to inquiries originating from our general voicemail, email and online appointment booking

* Ensure efficient operation of the clinic by managing all administrative tasks.

Key Qualifications:

* Superior organization and time management skills to prioritize work

* Excellent oral and written communication skills

* Exceptional people skills-on the phone and in person

* Must be computer literate and proficient with Microsoft Office, experience with electronic medical record (EMR) is preferred

* Must be punctual and reliable

* Ability to multi task

* Fast learner with a great attitude

* Willingness to learn and develop new skills

* Experience with direct billing insurance using TELUS, Sunlife, Greenshield and Blue Cross would be an asset

* Must operate with integrity and treat the personal information of patients with the greatest degree of confidentiality
