The Role
We’re looking for an AI Operations Manager to work alongside our AI Architect and help turn ambitious AI ideas into structured, scalable reality.
This is not a research role.
This is not a prompt-only role.
This role exists to execute, organise, and operationalise AI across the business.
You’ll be responsible for managing internal AI tools, bots, workflows, and automations, ensuring they are delivered on time, properly documented, adopted by teams, and continuously improved. Think of this role as the connective tissue between AI vision and day-to-day business impact.
If you’re highly organised, systems-driven, and excited by making complex things actually work, this role is for you.
What You’ll Be Responsible For
AI Execution & Delivery
- Translate AI concepts and architecture into clear tasks, timelines, and deliverables
- Manage AI roadmaps, backlogs, and priorities
- Ensure AI initiatives are shipped, tested, and rolled out across teams
Bot & Tool Management
- Maintain an overview of all internal AI bots, copilots, agents, and automations
- Track ownership, purpose, usage, and performance
- Reduce duplication and keep the AI stack clean and intentional
Process, Structure & Documentation
- Turn ideas into SOPs, workflows, and playbooks
- Maintain prompt libraries, usage guides, and internal documentation
- Ensure AI systems are usable by non-technical teams
Cross-Team Coordination
- Act as the bridge between AI, Operations, Marketing, Product, and Leadership
- Gather requirements from teams and turn them into clear briefs
- Ensure feedback loops are tight and actionable
Adoption & Performance
- Drive internal adoption of AI tools
- Monitor usage, efficiency gains, and output quality
- Identify gaps, friction points, and improvement opportunities
Governance & Quality Control
- Implement naming conventions, version control, and access rules
- Support responsible AI use across the organisation
- Keep systems secure, consistent, and scalable
What We’re Looking For
You’re likely someone who:
- Is highly organised and naturally structured
- Enjoys turning chaos into systems
- Can manage multiple initiatives without losing clarity
- Communicates clearly with both technical and non-technical teams
- Is comfortable working closely with senior leadership
Experience & Skills
- 3–6+ years experience in operations, program management, product ops, or systems roles
- Strong understanding of AI tools and workflows (hands-on user, not necessarily a builder)
- Experience managing projects, roadmaps, or internal tools
- Comfortable documenting processes and creating playbooks
- Confident using tools like Notion, ClickUp, Jira, Linear, Slack, etc.
Bonus points if you’ve worked with:
- Automation tools (Zapier, Make, n8n)
- Internal tooling or platform teams
- AI copilots, agents, or workflow automation
What Success Looks Like
After 90 days:
- AI initiatives are clearly prioritised and moving consistently
- Teams know what AI tools exist and how to use them
- Documentation is clean, current, and useful
- The AI Architect is focused on building, not chasing execution
- The business is visibly faster and more efficient
Why Join Us
- You’ll be shaping how AI actually works inside a fast-moving business
- You’ll sit at the centre of operations, innovation, and execution
- You’ll work closely with senior leadership and the AI Architect
- You’ll help build systems that scale, not just experiments
This role will only grow in importance.
We’re not experimenting with AI. We’re building with it.
