The opportunity we have available


We are seeking to fill the role of Executive Assistant responsibilities for the Assistant Secretary, Office of Northern Australia (ONA) based in Darwin.
ONA implements the whole of government developing Northern Australia agenda. This Branch of the department’s Partnerships and Projects Division has staff based in Darwin, Cairns, Townsville, Brisbane, Perth and Canberra.


ONA is responsible for articulating the vision for the development of Northern Australia, working collaboratively with Australian Government agencies and northern jurisdictions (Queensland, Western Australia and Northern Territory), as well as industry, and investment partners to deliver inclusive, progressive policy outcomes in the north.


What will you do?


Reporting to the Assistant Secretary, Office of Northern Australia, the Executive Assistant will provide high level administrative support to the Assistant Secretary to support the day to day running of the Branch and the Darwin Office. Duties generally include, but are not limited to:


Supporting the Assistant Secretary with:

  • proactive diary and email management, control and coordination of correspondence and other documentation
  • coordinating meetings including drafting agendas, collation of papers, booking of venue and catering.
  • coordinating travel arrangements including flights and accommodation.
  • assisting with finance activities, including procurement, credit card reconciliation and compliance reporting.

  • Providing a point of contact for Corporate areas in Canberra for office-based information and referral for practical support of services.
  • Coordinating and tracking work requests across the Branch in collaboration with support staff based in Canberra, Perth and various locations in Queensland.
  • Coordinating office requirements including facilitating access to the buildings by visiting staff and contractors.
  • Managing stationery supplies for the office.
  • Managing work station sharing arrangements for the Darwin office.
  • Ensuring first aid and emergency warden representation.
  • Ad-hoc requirements for the office.

Who are we looking for?


We are seeking experienced candidates with the ability to:

  • Liaise with internal and external stakeholders on operational and administrative matters;
  • Resolve moderately complex enquiries from staff and provide information and advice consistent with departmental policies and guidelines;
  • Assist in the provision of office and building management services;
  • Contribute to providing support to staff within the region and support them through change;
  • Work with a level of independence, under limited guidance, to deliver quality outcomes; and
  • Effectively manage competing priorities including having accountability for tasks, decisions and organising workflow.

Eligibility requirements


Employment with the Department of Infrastructure, Transport, Regional Development, Communications and the Arts is subject to conditions prescribed within the Public Service Act 1999 including:

  • Citizenship: candidates must be an Australian citizen at the time of submitting your application.
  • Health Assessment: The preferred candidate may be required to undergo a medical examination conducted by the department’s preferred medical provider.
  • Security Clearance: The successful candidate must be able to obtain and/or maintain a security clearance at Baseline level. You must be willing to disclose all relevant and required information. You must have lived in Australia, or have a checkable background, for at least the preceding five years for Baseline Vetting clearances.
