Job Description: Asset Investment Administrator
Responsible To: Asset Investment Team Leader
Responsible For: N/A
Location: Dublin with hybrid working post probation
Contract: Full Time/ Fixed Term (12 months)
Job Summary:
As Asset Investment Administrator your main responsibility is to support with all aspects of administration within the Asset Investment Team and to provide support to other teams and regional offices as required.
The following list is typical of the level of duties which the post holder is expected to perform or be responsible for. It is not necessarily exhaustive and other duties of a similar type and level may be expected from time to time. The post holder will be responsible for a combination of the objectives described below and annual KPIs dependent upon the requirements of the organisation.
KEY RESPONSIBILITIES (Functional):
1. Scanning documents on system.
2. Review stock condition surveys and update schedule of issues arising to be addressed and circulate this schedule to relevant colleagues.
3. Upload and update information on stock condition, investment programmes, component replacements, contractor performance, etc.
4. Maintain accurate property and asset data in systems,
5. Updating various data sources.
6. Review of drawings, leases, ownership titles, cross referencing with contractual documents, for confirming ownership / maintenance responsibility assignment, ESG assets etc and complete schedules for review and updating relevant colleagues and information on systems
7. Inputting and extracting data from management system. Knowledge of Microsoft Excel essential.
8. Providing general administration support to the Team as required including, but not limited to, postage and file management.
9. Sorting and distributing incoming post and organising and sending outgoing post, including mail merges.
10. Any other duties as required.
KEY RESPONSIBILITIES (Organisational):
11. Provide input into the Operational plans.
12. Adopt a collaborative and supportive approach, maintaining up to date professional knowledge and providing advice and assistance to colleagues as required.
13. Provide statistical data, information, and testimonials for annual report.
14. In all aspects of the company's work, promote effective communications, excellence in customer service, and a focus on continuous improvement.
15. Be pro-active in the development and maintaining of strong networks and relationships with colleagues and in other organisations and agencies, to ensure excellence in service delivery.
