YOU

As an Associate Executive Assistant, you will be responsible for providing administrative support to our Senior Leaders. You will handle details of a confidential nature, collect and prepare sensitive information for use in discussions, provide reporting and attend meetings with the organization’s staff.

WHAT YOU’LL BE DOING (% of Time)

Organize, schedule, assist in planning, agenda creation, setup and execution of meetings and events, including but not limited to travel arrangements, reserving meeting space and coordination of meals. Document meeting minutes, track and communicate action items, and provide technical assistance for conferencing. Support the efficiency of meetings including management and collation of prep work, preparation of minutes and follow-up actions, and tracking deadlines and sending reminders (35%)

Maintain our Senior Leaders’ day-to-day schedule by planning and scheduling business and personal meetings, in-person and remote, as well as coordinating and booking domestic and international travel arrangements. Work closely and effectively with the Senior Leaders to keep them well informed of upcoming commitments and responsibilities, following up appropriately. (30%)

Complete a broad variety of administrative support tasks independently that include completing expense reports; monitor and predict spending and advise appropriately; composing and preparing emails; compiling documents for meetings; preparing PowerPoint presentations and implement processes to manage projects, information, and people. (25%)

Ensure the office is well maintained and stocked, picking up and receiving packages and run errands as needed. (10%)

DESIRED SKILLS AND EXPERIENCE

  • Bachelor’s degree or equivalent practical experience required.
  • 5 years’ of administrative support and/or project coordination experience, supporting multiple senior level leaders.
  • Proficient in Microsoft Office Suite (Word, Excel and PowerPoint) required.
  • Proficient in Smartsheet preferred.
  • Attention to Detail: Ability to monitor and review work for accuracy, completeness and possess strong organization skills. Self-Management/Prioritization: Prioritizes tasks and activities based on the contribution they make to the department and company’s objectives. Ability to manage multiple projects and competing priorities and to set well-defined and realistic personal goals.
  • Problem Solving: Identifies problems and opportunities for changes and implements solutions accordingly. Ability to identify options for solving a problem and evaluate the strengths and weaknesses.
  • Results Focus & Initiative: Ability to take initiative in a challenging, fast-paced environment. Ability to identify what needs to be done and take action, when a situation requires it. Ability to set high goals and work hard to achieve them. Ability to demonstrate a positive attitude towards getting things done.
  • Teamwork: Coordinates one’s work and performance with that of others to achieve mutual outcomes. Ability to build and sustain cooperative working relationships and build consensus within the department.

WORK ENVIRONMENT

This job operates in a professional office environment where standard office equipment such as computers, phones, printers/scanners, etc. are frequently used.

TRAVEL REQUIRED

This job requires less than 5% domestic travel.

WORK STATUS & LOCATION

This full-time, exempt position is located in Pleasanton, CA, McKinney, TX or remote.

RELOCATION

Relocation is not available for this position.

Pay

$51,500 - $98,900 / year

  • Posted pay range is based upon national average and may vary depending on geographical work location.
