Position Summary

We currently serve almost 100 clients in a variety of industries and sizes. The Bookkeeping/Admin Assistant will have two areas of work: 1) create and maintain systems to keep the organizational workflow organized and humming along; 2) manage a portfolio of client bookkeeping work including categorizing transactions, reconciling accounts and running regular reports. We have an aggressive 5-year growth plan and we would like to see this position grow with the business.

Employment

20hrs per week to start, some remote/some in person. This will grow to 30-40 hrs per week in the next 6 months. Weekly zoom or in person meeting. Other hours are flexible, based on the workflow. Some admin work needs to happen at my home office space, but all other work can be done from your home. Requirement for a regular schedule during normal 9-5 hours each week. Room for long term growth for the right person.

Responsibilities and Duties

Admin:

  • Create an effective system to manage, organize and prioritize client emails.
  • Create and manage a weekly to do list based on emails, meetings and calendar availability.
  • Manage client digital files. Create a checklist of necessary documentation and add additional documents as needed. Create and manage systems to make sure everything is up to date.
  • Create a checklist for on-boarding new clients. Update on-boarding platform and help maintain that process.
  • Collaborate with owner to build strong systems for optimal communication & client management.

Bookkeeping:

  • Keep client files up to date every two weeks.
  • Reconcile client accounts monthly.
  • Pull reports for clients monthly to check for errors or issues and to share with the client.
  • Clean up the COA and books to make them easier to manage and understand as needed.

Minimum requirements:

  • Minimum of 2 years of bookkeeping experience
  • Familiarity with all Google Workspace products, Drive, Docs, Sheets, Calendar, Gmail
  • Experience with Quickbooks Online
  • Basic computer, filing, printing, information management skills
  • Strong organizational skills
  • Exceptional attention to detail
  • Strong interpersonal skills
  • Adaptability and problem solving skills are a must
  • Excellent verbal and written communication skills
  • Ability to work independently but also be able to ask for help when something isn’t right.
  • Ability to stay organized and juggle similar tasks for multiple clients sometimes in different industries. **We work with many different industries**
  • Experience in a position where privacy and ethics were important
  • Preferred experience: Squarespace, Dubsado or Keeper experience is a plus

Job Type: Part-time

Pay: $17.00 - $22.00 per hour
