Description:
The Greyhound Racing Integrity & Welfare (GRIW) department plays a critical role in upholding the integrity and welfare standards of the sport. It encompasses Stewarding, Integrity Operations, Veterinary Services, Animal Welfare and Legal Services all working together to ensure transparent, fair and welfare centred racing.
We are seeking a motivated and detail-oriented Business Support Officer to provide essential administrative, operational and customer support across GRIW. This role primarily supports the Animal Welfare Manager, Chief Steward, Deputy Chief Steward, Stewarding team, Chief Veterinarian and Integrity Operations. Key Responsibilities
In this role, you will:
Race Day & Data Integrity
- Coordinate and authorise key data updates (e.g., swabs, penalties, trials, veterinary data).
- Process scratching’s, late scratching’s and veterinary clearances.
- Investigate and resolve time sensitive participant queries, including nomination issues which can include sensitive participant queries, including nomination issues.
- Follow up race day reports, liaise with Welfare team on injuries, and ensure timely sample tracking.
- Prepare weekly reports on sample results and liaise with RASL.
- Maintain required spreadsheets, records and evidence to support data integrity.
- Load VRT outcomes and ensure finance is advised of prize money adjustments.
- Triage calls and manage shared inboxes on behalf of Chief and Deputy Chief Steward.
- Organise transcripts, case management filing, and appeal paperwork (VRT, VCAT, Supreme Court).
- Support death record coordination and liaison with veterinary and investigative teams.
- Schedule meetings and support administrative requirements for Stewarding and Veterinary Services.
- Manage the Welfare shared inbox and triage matters appropriately.
- Support the implementation of greyhound retirement rules, policies and processes.
- Administer welfare programs, including the Greyhound Recovery Initiative (GRI).
- Assist with welfare investigations, irregular retirements, emergency responses, and case progression.
- Liaise with councils, shelters, pounds and welfare groups regarding greyhound rehoming or returns.
- Record and track surrendered greyhounds and liaise with registered shelters/pounds.
- Work with local councils and welfare groups to ensure accurate and compliant record keeping.
- Coordinate procurement requirements and workplace transactions for multiple managers.
- Manage uniform orders, race day supplies, accommodation bookings and catering.
- Assist GRIW Legal Services Officer when required and support broader GRIW initiatives.
- Contribute to continuous improvement and actively participate in team engagement.
You will bring:
Experience & Knowledge
- 2+ years’ experience in a busy administrative role with extensive customer contact.
- Strong customer service skills, including managing challenging situations.
- Experience with data entry, records management and working in compliance driven environments.
- Knowledge of greyhound racing or interest in learning (desirable).
- Excellent organisational, time management and prioritisation skills.
- Strong written and verbal communication skills.
- High attention to detail and accuracy in data processing.
- Ability to work effectively with colleagues across all levels.
- Proficiency in MS Office (Word, Excel, Outlook).
- Professional, adaptable and calm under pressure.
- Strong appreciation for rules, regulatory processes, and integrity.
- Ability to maintain confidentiality and work both independently and as part of a small team.
- Resilience to work with sensitive animal welfare material.
