Job Overview: The Contract Document Controller (Sales) is responsible for overseeing and managing the contract documentation related to the sales process. This includes ensuring that all contract documents are accurately maintained, tracked, and updated throughout the sales lifecycle. The individual will work closely with the sales, legal, and finance teams to ensure compliance, accuracy, and efficiency in the preparation, negotiation, and execution of sales contracts.
Key Responsibilities:
- Contract Documentation Management:
- Prepare and organize all sales contract documentation, ensuring accuracy and completeness.
- Ensure that all contracts are stored in an accessible, organized manner in the company’s document management system.
- Maintain a systematic approach to tracking contract deadlines, renewals, and amendments.
- Sales Support:
- Collaborate with the sales team to ensure that all necessary documentation is provided to clients and stakeholders on time.
- Assist the sales team with the creation, review, and revision of contract terms, conditions, and pricing.
- Communicate with clients and internal departments to clarify contract details or resolve issues related to contracts.
- Document Control & Compliance:
- Ensure all sales contracts adhere to company policies and legal regulations.
- Review contracts for completeness and compliance with internal standards.
- Track and report the status of contracts, providing regular updates to relevant stakeholders (sales managers, legal, finance teams).
- Contract Review and Negotiation Support:
- Assist with the initial review of contract terms and conditions, identifying potential risks or discrepancies.
- Support the sales team during contract negotiations, providing necessary documentation and clarifications.
- Work with the legal department to ensure all sales contracts comply with legal requirements and are aligned with the company’s interests.
- Records Management & Reporting:
- Maintain accurate records of contract documents, amendments, and related correspondence.
- Generate periodic reports on contract status, outstanding issues, and milestones to management.
- Coordinate the proper archiving of contracts after completion or expiration.
- Process Improvement:
- Proactively identify areas to improve the contract management process, suggesting ways to increase efficiency and reduce errors.
- Collaborate with cross-functional teams to streamline documentation processes related to sales contracts.
Skills and Qualifications:
- Bachelor’s degree in business administration, sales, law, or a related field.
- Proven experience in contract management, sales support, or document control.
- Strong understanding of sales processes, contract terminology, and legal documentation.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems.
- Excellent organizational, communication, and problem-solving skills.
- Attention to detail and a high level of accuracy.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications:
- Experience in the industry related to the company’s products or services.
- Familiarity with contract lifecycle management (CLM) tools or software.
