Crewing Assistant

The Crewing Assistant provides administrative and coordination support to ensure the smooth and timely processing of crew documentation and deployment requirements. This role plays a key part in maintaining compliance with maritime regulations, supporting efficient crew operations, and assisting in the overall management of crew records, scheduling, and communication with seafarers and related departments.

Responsibilities:

• Assist in end-to-end crewing operations and documentation processing
• Monitor completion of crew documents prior to vessel joining
• Coordinate pre-deployment requirements including medical, training, and travel arrangements
• Liaise with third-party providers (PEME, training centers, travel agencies, crew gear suppliers)
• Ensure timely encoding and updating of crew records in the system
• Prepare and submit required documents to government agencies when necessary
• Provide regular updates to the Crewing Manager regarding crew status
• Raise concerns related to documentation, compliance, or statutory requirements

Qualifications:

• Bachelor’s degree in any four-year course
• 1–3 years of relevant experience in crewing or maritime documentation (preferred)
• Familiar with maritime documents and crew coordination processes
• Detail-oriented and highly organized
• Proficient in MS Office applications
• Strong communication and coordination skills
• Able to work in a fast-paced, deadline-driven environment
