          About the Role
We’re looking for a CRM Systems & Automation Specialist to lead the full audit, cleanup, and optimization of our CRM environment.
The ideal candidate will ensure our CRM operates as a clean, integrated, and reliable system that supports seamless workflows between Omniview, QuickBooks, and Outlook.
You’ll be responsible for establishing data accuracy, integration consistency, and automation readiness — with clear documentation and handover for long-term management. Key Responsibilities
- Conduct a complete CRM data audit to identify duplicates, missing fields, and inconsistencies
 - Design and implement cleanup rules, field normalization, and data validation processes
 - Verify and enhance CRM integrations with Omniview, QuickBooks, and Outlook
 - Create and maintain clear documentation of CRM structure, field logic, and data flows
 - Use GPT-powered tools (e.g., ChatGPT, Notion AI) for process documentation and reporting
 - Deliver monthly CRM health reports and continuous improvement recommendations
 - Collaborate with the Account Manager to ensure CRM alignment with operational goals
 - Provide feedback and insights to enhance automation reliability and data accuracy
 
Required Skills & Tools
- CRM Systems: Omniview (or equivalent platforms such as HubSpot, Pipedrive, Zoho CRM)
 - Automation Tools: Relay (preferred), Make (Integromat), Zapier, Power Automate, or n8n
 - Business Tools: QuickBooks Online, Microsoft Outlook (contacts, email, calendar integration)
 - Data Management: Strong command of Excel/CSV cleaning, field mapping, and normalization
 - APIs & Webhooks: Ability to configure and troubleshoot integrations between systems
 - Documentation: Experience using GPT-powered tools for process creation and updates
 - Bonus: Background in CRM data modeling, sales pipeline management, or workflow optimization

- Experienced in CRM setup, data management, and process automation
 - Detail-oriented and passionate about data integrity and system consistency
 - Capable of translating business needs into clean, functional CRM configurations
 - Excellent communicator and documentation writer
 - Comfortable working autonomously and delivering within tight project timelines
