Customer Service And Finance Administrator – Osteotec

Logent is now recruiting one exceptional Customer Services & Finance Administrator to become an integral part of the customer Osteotec´s dynamic operations team in Malmö. This role is the pivotal link between customers, sales teams, and the patients who ultimately benefit from Osteotec’s products.

About the Role:

This important role at Osteotec is focused around serving their customers by providing product- and service information as well processing orders through to despatch and delivery to customer.

Further, you'll combine customer excellence with financial acumen, ensuring seamless service delivery while maintaining the highest standards of accuracy, quality and compliance. You will report to the Operations Team Leader.

Key Responsibilities:

Customer Excellence:

  • Serve as the primary point of contact for customers and sales representatives, delivering first-class service at every touchpoint
  • Process orders, loans, and consignment sets through our CRM system with meticulous attention to detail
  • Manage booking arrangements, track back orders, and handle pricing queries and quotations
  • Resolve product or service issues by investigating complaints, identifying root causes, and implementing effective solutions
  • Maintain comprehensive customer records and account information

Financial Operations:

  • Prepare accurate and timely invoices following order dispatch
  • Execute credit control activities, ensuring prompt follow-up on outstanding invoices
  • Liaise professionally with clients to resolve payment queries
  • Support the finance team in maintaining precise account records in full compliance with industry regulations
  • Process customer adjustments and maintain financial accounts

Quality & Continuous Improvement:

  • Ensure rigorous adherence to our Quality Management System and Quality Assurance Procedures (QAPs)
  • Actively contribute to continuous improvement initiatives through our CAPA system
  • Prepare insightful reports by collecting and analysing customer information
  • Identify operational efficiencies and champion process enhancements

Collaboration & Development:

  • Work collaboratively with the warehouse team to prepare orders for dispatch
  • Cross-train in other roles to provide coverage during holiday and absence periods
  • Contribute meaningfully to team objectives and support collective success

We believe you will bring the following qualifications:

Industry Experience:

  • Demonstrable experience within the medical device industry, particularly with sterile and non-sterile implantable medical devices
  • Understanding the regulatory environment and quality standards in our sector is fundamental to success in this role

Technical Proficiency:

  • Strong IT literacy with advanced capability across Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with Power BI is advantageous
  • Ability to quickly learn and master company-specific systems including CRM/ERP platforms

Communication Excellence:

  • Outstanding communication abilities that shine through in written correspondence, verbal interactions, and telephone conversations.
  • Proven ability to manage challenging conversations professionally and find constructive solutions

Beyond these essentials, you bring CRM/ERP system proficiency and hands-on experience with credit control and invoice management. You're a natural problem-solver with the ability to work independently while knowing when to collaborate. Your professional office environment background has shaped your excellent organizational skills and taught you how to prioritize effectively even under pressure.
