We are searching for the best talent for a Senior Assistant role, to join our team located in Zug, Switzerland.
Purpose: The Senior Assistant coordinates the administration of the CSS EMEA Marketing teams within Johnson & Johnson MedTech. In this role, you work closely with the Regional Vice President and their Leadership Team in maintaining coordination between different parts of the organization. You articulate all internal communication channels towards our MedTech organization. Finally, this role is essential in maintaining a central point of contact with a series of external companies and stakeholders.
In this role you are the linking pin for administrative support across the organization. You work closely with the LT on topics which include local onboarding, organizing meetings and events, organizational communication, and further administrative support. To succeed in this role you are results oriented, structured, and pro-active. You will report directly to the VP and are able to significantly impact the way we do business in Johnson & Johnson MedTech.
You will be responsible for:
- Administer internal meetings - Sales meetings, sales represented meetings (workshops, trainings) and MD meetings: minutes and logistics.
- Advertising – PO handling, coordinate and contact with supplier, coordinate with marketing group
- Internal digital newsletters including video (franchise and MD) - Coordinate, write and execute internal communication for relevant stakeholders
- Make sure service levels to external and internal stakeholders are kept as high level.
- Balance workload within the team and act if tasks need to be re-distributed.
- Copy approvals for new material - copy review process, coordinate with agency
- Administrate transportation of marketing related material
- Mailings (DL) - Administration of e-mailing distribution list
- Coordinate PO’s: Create and manage PO’s, coordinate debt collections
- New-hire onboarding - Functional onboarding (lap-top, phone etc) and other sales material.
- Manage VP’s calendar and set up meetings
- Make travel and accommodation arrangements
- Administrative support for MedTech projects
- Act as the point of contact among LT members, employees, and other external partners
- Manage complex office administrative work requiring the use of independent judgment and initiative
- Format information for internal and external communication – memos, emails, presentations, reports, organizational announcements, townhalls, etc.
Qualifications and Requirements:
- 4 years’ experience in administrative role reporting directly to upper management
- Bachelor’s degree in office management or equivalent is a plus
- Fluency in English
- Excellent working knowledge of MS Office: Outlook, Word, Excel and PowerPoint
- Comfortable in using all latest digital tools such as Microsoft Teams and Zoom
- Prior experience with expenses & travel processing platforms is a plus
- Good aptitude for learning to use new systems
