Schedule: 9am - 5pm, Monday to Friday, PST/PDT

Job Description:
We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will have a proactive approach, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will play a key role in facilitating smooth operations and supporting strategic initiatives.

Responsibilities:

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prioritize communications, including emails, phone calls, and inquiries, and respond appropriately on behalf of executives.
  • Prepare and distribute agendas, reports, presentations, and other materials for meetings.
  • Assist with project management tasks, including tracking deadlines, monitoring progress, and coordinating team efforts.
  • Conduct research and compile data to support decision-making and business initiatives.
  • Plan and coordinate events, conferences, and company functions, managing logistics and vendor relationships.
  • Handle confidential information with utmost discretion and maintain strict confidentiality.
  • Act as a liaison between executives, team members, clients, and external partners, ensuring effective communication and fostering positive relationships.
  • Perform ad-hoc administrative tasks and projects as assigned.
  • Identify opportunities to streamline processes, enhance efficiency, and improve office operations.

Qualifications:

  • Proven experience as an Executive Assistant or similar role, preferably supporting senior leadership.
  • Strong organizational and time-management skills, with the ability to prioritize and multitask in a dynamic environment.
  • Exceptional attention to detail and commitment to delivering high-quality work within deadlines.
  • Excellent written and verbal communication skills, with the ability to interact effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and other relevant productivity tools.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Flexibility to adapt to evolving priorities and willingness to take on new challenges.
  • Positive attitude, proactive mindset, and strong team collaboration skills.

Job Types: Full-time, Part-time

Pay: Php25,000.00 - Php55,000.00 per month
