Executive Assistant To Vp Of Construction

Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our VP of Construction The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role requires a blend of administrative expertise, project coordination, and personal assistant experience to ensure the smooth operation of our executive office.

Duties

  • Work closely with the VP to keep them informed and prepared for their commitments and responsibilities anticipating their needs
  • Compose and manage documents that are often confidential
  • Maintain corporate records, documents and files
  • Conduct research and generate reports and presentations as necessary
  • Prepare and circulate agendas and meeting minutes in an efficient and timely manner
  • Arrange itineraries, travel arrangements, hospitality services, etc.

Requirements

  • Proven experience in an administrative role or as a personal assistant with strong organizational skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent calendar management skills using Microsoft Outlook Calendar.
  • Ability to handle confidential information with discretion.
  • Strong communication skills both written and verbal; capable of effective proofreading and transcription.
  • Customer service experience is highly valued; ability to interact positively with customers and colleagues alike.

Job Types: Full-time, Permanent

Pay: $28.00-$36.00 per hour

Expected hours: 40 – 44 per week
