Executive Assistant/Office Manager

Job Overview
We are on the lookout for a highly organized and proactive Executive Assistant/Office Manager to support our executive team and manage office operations at Burke's Naturals Inc. The ideal candidate will bring strong clerical skills, exceptional customer service abilities, and project coordination experience. This role demands a detail-oriented professional who can efficiently manage multiple tasks while maintaining a professional demeanor and a positive, can-do attitude.

Responsibilities

  • Provide comprehensive administrative support to executives, including transcribing meeting notes, preparing detailed reports, and managing calendars.
  • Oversee office operations to ensure a smooth workflow, efficient use of resources, and maintain office supplies inventory.
  • Utilize QuickBooks for accounting tasks, financial record-keeping, and assist with tax filings.
  • Maintain effective communication with clients and vendors, demonstrating exceptional phone etiquette and customer service skills.
  • Coordinate project activities, tracking progress, managing deadlines, and ensuring timely deliverables.
  • Proofread and edit documents to guarantee accuracy and professionalism in all communications.
  • Serve as a personal assistant to executives, handling various administrative and personal tasks.
  • Organize and manage company events, meetings, and team-building activities.
  • Facilitate office-wide communications and updates, ensuring all staff are informed and aligned.
  • Safeguard and enhance the positive work culture, helping the team achieve their best potential while continuously improving processes.

Qualifications

  • Proven experience as an Executive Assistant or Office Manager in a fast-paced environment, ideally within the natural products industry.
  • Strong clerical skills with proficiency in Google Workspace (Google Docs, Google Sheets) and QuickBooks.
  • Familiarity with tax filing is a big plus.
  • Excellent customer service skills with the ability to interact professionally with clients and team members.
  • Experience in event planning and project coordination is highly desirable.
  • Experience in HR and team management is desirable.
  • Exceptional phone etiquette and communication skills, both written and verbal.
  • Familiarity with DocuSign or similar electronic signature platforms is a plus.
  • Strong attention to detail with the ability to proofread documents accurately.
  • Ability to prioritize tasks effectively while managing multiple responsibilities simultaneously.
  • A can-do attitude, proactive, resourceful, and able to work independently with minimal supervision.
  • A positive attitude and a strong commitment to contributing to our team’s success.

Job Types: Full-time, Part-time

Pay: $21.00 - $25.00 per hour

Expected hours: 16 – 40 per week
