Executive Virtual Assistant

We are looking for a professional, detail-oriented, and highly motivated Executive Virtual Assistant to provide comprehensive support to our executive team. This role requires exceptional communication skills, ability to handle multiple tasks, and a high level of confidentiality.

Key Responsibilities:

  • Administrative Support: Manage and organize executive schedules, including coordinating meetings, appointments, and travel arrangements.
  • Communication Management: Handle email correspondence, draft responses, and manage phone calls on behalf of executives.
  • Document Preparation: Prepare and edit reports, presentations, and other documents as needed.
  • Project Management: Assist in managing and tracking various projects, ensuring deadlines are met and tasks are completed efficiently.
  • Research: Conduct research on various topics, including market analysis, competitor analysis, and other relevant business areas.
  • Data Management: Maintain and organize files, documents, and records in a structured manner.
  • Task Prioritization: Assist in prioritizing tasks and managing daily to-do lists for executives.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
  • Customer Relations: Assist with client communication and relationship management as needed.
  • Continuous Improvement: Suggest and implement improvements in administrative processes to enhance efficiency.

Qualifications:

Bachelor’s degree in Business Administration, Management, or related field (preferred but not mandatory).

Minimum of 3-5 years of experience as an Executive Assistant.
Technical knowledge on Networking and VoIP is a plus.
Proficiency in Microsoft Office and Google Suite
Ability to maintain confidentiality and handle sensitive information with discretion
Strong attention to detail and organizational skills
Ability to work independently and manage time effectively

  • Excellent verbal and written communication skills in English.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
  • Familiarity with project management tools is a plus.
  • Ability to work independently with minimal supervision.
  • High level of professionalism and attention to detail.
  • Ability to multitask and manage multiple priorities in a fast-paced environment.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Reliable high-speed internet connection.
  • Personal computer/laptop with updated software and tools required for remote work.
  • A quiet and professional workspace free from distractions.
