We are currently seeking to employ a Facilities, Fleet and Contractor Coordinator to our Business Support team based in Upper Hutt, Wellington. In this role, you will you will support the Support Services team to ensure Distribution Wellington's facilities and vehicle fleet are well-maintained, compliant with regulations, and fit for purpose. Additionally, you will oversee contractor prequalification and maintain contractor records in Assura.

  • Collaborate with operational managers to set vehicle specifications, source quotes, and follow financial approval processes.
  • Procure, deliver, and hand over vehicles while recommending purchases or leases of new and replacement vehicles.
  • Conduct fleet inductions for staff receiving vehicles and ensure compliance with statutory regulations, including COF, WOF, and equipment testing.
  • Organise fleet repairs, maintain plans, and compile monthly maintenance reports.
  • Ensure facilities are well-maintained, compliant, and fit for purpose.
  • Manage facility providers and service partners for HSE and commercial compliance.
  • Evaluate contractor prequalification submissions, renew approvals biennially, and manage inductions with HSEQ teams.
  • Oversee contractor drug and alcohol testing and ensure proper reporting and auditing.

Qualifications and Skills

  • Strong knowledge of commercial vehicles and related statutory regulations.
  • Technical expertise to collaborate with suppliers, contractors, and service providers.
  • Proven experience in management or relationship-building roles.
  • NZTA Certificate with legal and practical knowledge.
  • Excellent planning, multitasking, and organisational skills.
