Family Office Executive / Personal Assistant

Position Overview

We are seeking a highly experienced and professional Family Office Executive to support a private family office. The successful candidate will play a pivotal role in ensuring the smooth management of the family’s personal, property, and lifestyle affairs.

This position requires discretion, maturity, and the ability to anticipate needs in a dynamic and fast-paced environment. The ideal candidate is proactive, detail-oriented, and capable of operating with minimal supervision while maintaining the highest standards of integrity and professionalism.

Experience Requirements

  • Minimum 5–7 years of experience in a family office, private household environment
  • Demonstrated experience managing private properties and lifestyle operations
  • Strong understanding of property-related matters (tenancy management, maintenance coordination, vendors, documentation)
  • At least two professional references from previous employers

Key Responsibilities

1. Family & Principal Support

  • Provide comprehensive personal and administrative support to the principal
  • Coordinate household staff and service provider
  • Oversee procurement of household items and services
  • Anticipate needs and proactively manage schedules,
  • appointments, and priorities
  • Handle confidential documentation with absolute discretion

2. Property Management

  • Oversee management of properties
  • Coordinate property maintenance, renovations, inspections, and vendor management
  • Manage tenancy matters including lease documentation and tenant liaison
  • Maintain property-related records, contracts, and compliance documentation
  • Monitor property-related expenses and budgets

3. Financial & Administrative Oversight

  • Manage and track day-to-day family office expenses
  • Prepare expense summaries and support reconciliation processes
  • Maintain organized records of payments, invoices, and contracts

Any other ad-hoc matters as assign

Job Type: Full-time

Pay: $4,000.00 - $4,500.00 per month
