We are looking for a full-time, permanent Finance Administrator/Bookkeeper/Office Administrator / Office Manager for our Guelph, Ontario office (south end of Guelph).

Job Description:

  • Maintaining files for all accounting matters.
  • Managing daily operations of bookkeeping, A/P, A/R, credit/collections and banking (completed entirely electronically), and general ledger handling.
  • Communicating with customers via phone, e-mail, and online ticketing system.
  • Efficiently answering and transferring all incoming calls with a helpful, friendly attitude. Paging over an overhead paging system may be something that is required from time to time due to the size of our offices. Applicant should be comfortable making brief pages to locate and connect staff with customers and vendors holding at the switchboard.
  • Maintain a basic list of Merbridge staff so that you are aware if they are in the office or out visiting with partners or customers.
  • Warmly greeting and welcoming visitors to the office when required (post COVID).
  • Receive daily mail (our Canada Post mailbox is literally steps from our front door).
  • Submitting company payroll using provided templates and systems.
  • Entering vendor invoices and processing vendor payments (we take great pride in paying our vendors, partners and team members on time).
  • Processing sales orders and customer invoices.
  • Monthly balancing/reconciling of company bank account(s) and credit cards.
  • Setting up new customers in our master finance system.
  • General/basic HR duties.
  • Filing finance and legal documents.
  • Maintaining and ordering office supplies.
  • Managing your corporate email account.
  • Providing predefined quarterly and annual reports to our company accountant, as required.
  • Performing clerical/administrative duties to support the CEO, as required.

Requirements:

  • Must be highly organized and have the ability to multitask.
  • Maintain the highest levels of confidentiality and integrity.
  • Experience in an administrative or financial field (preferred, but not required).
  • Basic understanding of how HST works (collected/charged, paid, and remitted) within Ontario.
  • Understanding of accounting principles.
  • Knowledge in accounts receivable, accounts payable, and financial reporting.
  • Strong interpersonal and written communication skills.
  • Detail-oriented with strong problem solving and prioritization skills.
  • A strong work ethic and the ability to work both individually and as part of the team.
  • Flexible and willing to learn new tasks.
  • Responsive, patient, and friendly with customers, vendors/partners and team members.
  • Proficiency with Microsoft Windows 10, Microsoft Software/Office Suite (including MS Outlook, Word and Excel) and general accounting systems.
  • Understanding of SAP financial systems (preferred, but not required).
  • Experience in the business telecommunications field (preferred, but not required).

Training: This is an opportunity to run your own department! The ideal candidate must be a self-starter and able to learn on their own with direction (training will be provided when required).

Job Type: Full-time, Permanent

Schedule (Office Hours):

  • Monday to Friday
  • 8:30am to 5:00pm ET.

The vast majority of the time, this is an "in office" position. There is numerous times throughout the year where it does make sense for employees to work from home. Merbridge provides everything employees require in order to work from home (VPN access, laptops, tele-worker IP phones, etc.).

Pay: $33,500.00-$48,500.00 per year
