Finance and Administrative Coordinator – Singapore

The Role

This is a foundational finance role that sits at the heart of how we run day-to-day across Singapore and London. You will be the person who keeps our financial administration accurate, our statutory obligations on track, and our Singapore office running smoothly — giving the rest of the team the confidence that the fundamentals are in good hands.

You will own payroll, bookkeeping, tax compliance and office operations, working closely with the Director of Finance & Operations and liaising with external accountants, payroll vendors and banking partners. As the company scales across two jurisdictions, this role grows with it.

What You Will Be Doing

Finance & Payroll — Singapore

  • End-to-end payroll processing for Singapore-based employees, including CPF administration, IR8A and IR21 filings, and statutory leave reimbursement claims.

  • Bookkeeping across both the Singapore and London entities, with management of debtors and creditors.

  • Supporting corporate tax filings via the IRAS portal, including ECI and Form C/C-S submissions, GST returns, and deadline tracking with third-party providers.

  • Liaising with local accountants and tax agents to ensure all statutory obligations are met, and monitoring changes in Singapore tax legislation.

  • Assisting with EIS or other Singapore tax advantage schemes as applicable.

Banking & Treasury

  • Managing the day-to-day relationship with our Standard Chartered relationship manager, including account documentation and issue resolution.

  • Maintaining GIRO arrangements for payroll, rent and statutory contributions.

  • Supporting intercompany fund transfers and foreign exchange administration.

Finance & Payroll — London

  • Assisting the Director of Finance & Operations with monthly, quarterly and year-end reporting.

  • Supporting board pack preparation and stakeholder queries.

  • Processing expense reimbursements and payroll for London-based staff.

Singapore Office Operations

  • Serving as the primary point of contact with our Singapore co-working space provider.

  • Managing office supplies, equipment, access passes and visitor administration.

  • Maintaining a centralised vendor directory in Notion to support business continuity across the team.

What We're Looking For

  • 4–5 years of experience in bookkeeping, finance operations, payroll coordination or an administrative role, ideally within a startup or small business environment.

  • Solid working knowledge of Singapore statutory requirements — CPF, IRAS filings, MOM obligations — and comfort navigating third-party payroll and accounting providers.

  • Strong organisational skills with a genuine attention to detail and a habit of proactive follow-through.

  • Experience with tools such as Notion, Xero or equivalent finance and productivity platforms.

  • Clear and confident communicator, able to liaise effectively with external accountants, bankers and government portals.

  • Ability to manage multiple deadlines across two time zones without dropping the ball.

  • Comfortable operating with a degree of autonomy in a small team where processes are still being built.

Bonus Points If You Have

  • Experience supporting a dual-jurisdiction entity, particularly UK–Singapore.

  • Familiarity with intercompany accounting, transfer pricing or FX administration.

  • Exposure to Singapore tax advantage schemes such as EIS.
