Job Details

The Finance Assistant/Lead plays a key role in HVE’s overall success by being a key member of our Finance Team. You will handle accounts payable and accounts receivable, prepare invoices, and manage or create financial records.

Essential Job Duties/Tasks:

  • Ensure finance operations align with service delivery model for Independent Medical Examinations (IMEs), particularly regarding accurate costing, billing, and reconciliation of assessments.
  • Maintain financial data accuracy within SmartSimple/Quickbooks, including proper tagging and reporting of expenses and revenues associated with each assessment.
  • Monitor transactions associated with HCAI (Health Claims for Auto Insurance) submissions and adjudication, flagging discrepancies and working with assessors and other teams to ensure compliance.
  • Support executive team with financial dashboards and performance indicators tailored to productivity, assessment profitability, and turnaround time metrics.
  • Support the Senior Finance Manager with monthly and year-end close processes, ensuring accuracy, completeness, and alignment with HVE Healthcare’s financial policies and regulatory frameworks.
  • Assist in the preparation of monthly financial statements, internal reports, and supporting schedules by compiling, analyzing, and summarizing data from SmartSimple and QuickBooks Online.
  • Contribute to the maintenance and reconciliation of the General Ledger, including oversight of inter-company accounts related to HVE Assessments and affiliated entities.
  • Assist in preparing documentation for internal and external audits, ensuring audit readiness and proper recordkeeping under HVE's Legal Actions Compliance Policy and CARF standards.
  • Manage accurate and timely remittance of statutory obligations including GST/HST, corporate tax instalments, and year-end tax filings, ensuring all submissions are compliant with CRA and provincial regulations.
  • Support the review and maintenance of bank accounts and bank statements, reconciling all discrepancies
  • Assist with the analysis of revenue, commissions and expenses to ensure they are recorded appropriately on a monthly basis
  • Aid with financial and tax audits and assist with supervision of finance staff

Payroll

  • Processing of payroll, benefits and taxes to employees consistent with Federal and Provincial rules and regulations (e.g., Revenue Canada and Ontario Ministry of Labour - Employment Standards)
  • Assist with the processing of new hires, temporary workers, transfers, promotions and terminations in an accurate and timely manner
  • Aid the audit of T4’s, T4A’s, payroll balance sheets, YTD earnings, etc.
  • Support the assurance that systems are set-up and updated to reflect our current employee base, including wages, benefits, sick and vacation time in line with contracts
  • Assist with the remittance of all monthly employment taxes (e.g., ETD, and EHT)

  • Experience/Education Requirements

Experience/Education Requirements:

  • A minimum of 3 years of experience using QuickBooks Online, Microsoft Word, and Excel.
  • At least 3 years of hands-on experience in accounts receivable and/or accounts payable.
  • 3 to 5 years of relevant experience within the Independent Medical Examination (IME) industry.
  • 1 to 3 years of experience working with SmartSimple software.
  • 1 to 3 years of experience working with the Health Claims for Auto Insurance (HCAI) system.
  • Post-secondary diploma in Accounting or a related field.
  • Excellent verbal and written communication skills, with the ability to engage professionally with both external clients and internal stakeholders.
  • Exceptional attention to detail, including the ability to review multiple documents simultaneously and identify discrepancies.
  • Strong organizational skills, with a proven ability to manage multiple tasks and projects concurrently.
  • Advanced proficiency in Microsoft Excel.

Reports to: Senior Finance Manager

Salary Range : $42,500 - $ 55,000 Annually

Work Location : Vaughan Office (On Site)

Hours: 8:30 am – 5:30 pm (Flexible work hours required as determined by Manager)

Breaks: 1 hours unpaid lunch break

Job Type: Full-time

Pay: $40,500.00-$55,000.00 per year
