Finance Coordinator

- Process accounts payable and accounts receivable accurately and timely.
- Maintain vendor files, invoices, payment documentation, and approvals.
- Assist with payroll processing, payroll imports, and reconciliation.
- Prepare and post journal entries as assigned.
- Perform monthly bank and credit card reconciliations.
- Maintain organized and audit-ready financial records.
Budgeting, Reporting & Grants:
- Assist with budget tracking and budget-to-actual reporting.
- Support grant financial reporting, documentation, and compliance.
- Prepare financial reports for leadership, board committees, and funders.
- Track restricted and unrestricted funds by program and site.
Systems & Data Management:
- Enter and maintain financial data in the organization’s accounting system (e.g., MIP Fund Accounting, Sage Intacct or QuickBooks).
- Support system transitions, upgrades, and process improvements.
- Ensure accurate use of accounting codes, programs, and locations.
Internal Controls & Compliance:
- Follow and support strong internal financial controls and approval processes.
- Assist with annual audits and respond to auditor requests.
- Ensure compliance with nonprofit accounting standards and funder requirements.
- Maintain confidentiality of financial and personnel information.
Collaboration & Support:
- Work collaboratively with program staff, site directors, and leadership.
- Serve as a finance resource for internal questions and documentation needs.
- Support special projects related to finance, grants, and operations as assigned.
Other duties as assigned.
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- 3+ years of accounting or finance experience, preferably in a nonprofit or healthcare setting.
- Experience with accounting software (MIP Fund Accounting, QuickBooks, Sage, or similar).
- Strong proficiency in Microsoft Excel and financial spreadsheets.
- Excellent attention to detail, organization, and time-management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
