Job Overview
We are seeking a dedicated and organized Front Desk Receptionist to join our team. This role is essential in providing excellent customer service and ensuring the smooth operation of our front office. The ideal candidate will have experience in a clerical or administrative role. You will be the first point of contact for our clients, managing phone systems and greeting visitors with professionalism and warmth.
Responsibilities
- Greet and welcome patients and visitors in a friendly and professional manner.
- Manage incoming calls, directing them to the appropriate staff members or taking messages as necessary.
- Schedule appointments and maintain an organized calendar for the office.
- Handle clerical tasks such as filing, data entry, and maintaining patient records using computerized systems.
- Assist with administrative duties including managing correspondence and preparing documents as needed.
- Ensure the front desk area is clean, organized, and welcoming at all times.
- Utilize Google Suite for various tasks including document creation, spreadsheets, and communication with team members.
- Collaborate with staff to ensure seamless customer flow and address any inquiries or concerns.
- Identify and target potential customers through various channels, including cold calling, networking, and referrals.
- Conduct market research to identify new business opportunities and stay informed about industry trends.
- Present and demonstrate products or services to prospective clients, highlighting key benefits and features.
- Build and maintain strong relationships with new and existing clients.
- Address customer inquiries and provide solutions to meet their needs.
- Follow up with clients to ensure satisfaction and address any issues or concerns.
- Develop and execute sales strategies to meet or exceed sales targets.
- Prepare and deliver sales presentations, proposals, and reports.
- Track sales activities and customer interactions using CRM software.
- Provide regular reports on sales performance and market trends to management.
- Work closely with other team members and departments to ensure a seamless sales process.
Experience
- Previous experience as a Front Desk Receptionist or in a similar clerical/administrative role is preferred.
- Familiarity with sales is a plus but not required.
- Proficiency in using computer systems and phone systems; experience with Google Suite is highly desirable.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent verbal and written communication skills to interact professionally with patients and staff members.
- A positive attitude and commitment to providing exceptional customer service are essential for success in this role.
