HR Assistant/Facilities Coordinator

As HR Assistant/Facilities Coordinator, you will report to the Human Resources Manager.

HR: The HR Assistant is the first point of contact for HR-related queries from employees. The HR Assistant maintains the responsibility for correct input and integrity of all HR related data in internal office systems and designated third party portals. The HR Assistant will work closely with the HR Manager to ensure all HR activities, employee lifecycle and employee engagements are executed in a professional and discreet manner.

Facilities: As Facilities Coordinator, you are to take care of handling and resolving all facilities/office related matters. You are to ensure that the facilities and office activities are well executed for a smooth daily operation.

What we expect from you:

HR:

• Maintaining and updating the end-to-end employee life cycle HR data and records in the HR system (Bamboohr and SAP) and assigned areas, in compliance with local legislation
• Performing daily administration and monitoring relevant documentation, input and updates on all HR aspects, e.g. personnel life cycle correspondence, onboarding, offboarding, third party portals, events and training.
• Preparing mutations/input and liaising with HR Manager for payroll processing with an external payroll company.
• Supporting HR Manager with various activities and HR projects.

Facilities:

• Supporting all facility activities
• Purchasing, ordering and maintaining stock of office related commodities/groceries needed for office use.
• Organizing and taking care of any office events and booking of travel and hotels, if and when needed
• Pro-actively taking on any facility challenges, ad hoc or regular, and coming up with suggestions and consulting with HR and Management for actions to be taken.
• Monitoring and ensuring the smooth operation of daily housekeeping, cleaning and other ad hoc maintenance activities executed by external providers.

Who are you:

• Dutch and English – both in verbal & written skills
• Hands-on attitude, proactive and service oriented
• 3-4 years of HR and preferably dual (HR/facilities) experience
• Good communication skills
• Accuracy & good time management skills

• Well organized with structured work approach
