Hr/Admin Officer / Hr Generalist [Jd]

Work Arrangement: Fully Onsite; Office Location: Salcedo Village, Makati

Work Schedule: Monday to Friday (Dayshift)

Key Responsibilities

Administrative Function:

  • Company Guidelines and Documentation - Managing organizational records, documents and filing system, ensuring date security and overseeing document retention and policies.
  • Company Policy and Procedure Implementation- drafting, updating and communicating policies related to office conduct, health and safety and general workplace standards.

Recruitment and Onboarding Function:

  • Job Posting: Creates Job Descriptions (JD) and posts them on various platforms.
  • Sourcing: Source candidate’s different mediums, coordinating with Recruitment Companies from time to time and source to other recruitment channels.
  • Onboarding: Conducts onboarding to integrate new employee into the Company. Prepare onboarding materials.
  • 201 File Management: Record keeping of Employees Personal and Confidential Files in employees’ personal records.

Payroll and Timekeeping Function:

  • Encoding of Timekeeping forms: Encoding of overtime, leave application and other timekeeping forms.
  • Preparation of Payroll Instruction: Encode and Prepare Payroll Instruction every cut off to be submitted to Payroll Processor.
  • Attendance Monitoring: Tracking of Attendance including absences, tardiness and leave balances.
  • Leave Management: Ensures leave balances are updated and accurately reflected in timekeeping records.

Employee Benefits Function:

  • Compensation Strategy and Structure: Develops compensation strategy, includes determining competitive pay structures, pay grades and salary ranges for various job roles.
  • Engagement Initiatives: Implements programs that promote wellness and supporting employees well being.
  • Company Events: Implements, plans and executes Company programs like Christmas Party, outing, etc.

Performance Management Function

  • Performance Improvement Plan (PIP): Assist in developing and monitoring PIP of employees for improvement.
  • Promotion: Facilitates promotion and non-monetary incentives.

Secretarial work for the President and Japanese Expats

  • Communication Handling- primary point of contact for external and internal communications related with the President whereabouts.
  • Travel and Accommodation arrangements- Coordinate travel for executives and Japanese staffs (expats) including booking flights, hotels and transportation.
  • Expense reimbursements- Handles expense reporting.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration or related field.
  • At least 3 years of experience as an HR Generalist or HR Officer role.
  • Strong communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
  • Excellent organizational and multitasking abilities, with a keen eye for detail.
  • Proficient in using HR-related software and tools, and Payroll Systems.
  • A collaborative and solutions-oriented mindset, with the ability to work well in a team environment.
  • Familiarity with HR policies, regulations, and best practices in the Philippines.

Job Types: Full-time, Permanent

Pay: Php35,000.00 - Php55,000.00 per month
