Remote | Full-Time
Hours: 9:00 AM - 6:00 PM PST (Los Angeles, CA time zone), Monday - Friday

We are looking for a highly meticulous and detail-oriented Human Resources Coordinator/ Recruitment Specialist to join our team. The ideal candidate must be exceptionally organized, proactive, and skilled at managing multiple tasks with precision. We are seeking a highly organized and deadline-driven Human Resources Coordinator/ Recruitment Specialist who can confidently manage a large hiring pipeline for Virtual Assistant roles. This role requires someone who is structured, detail-oriented, and highly proficient in Google Sheets for tracking candidates and recruitment metrics.
You must be experienced in interviewing VA candidates, assessing communication skills, and moving candidates efficiently through each stage of the hiring process while meeting strict timelines.
This is a fast-paced role. We need someone who can manage volume without sacrificing quality.
Key Responsibilities:
- Credential Management: Track and maintain up-to-date credentials for all clinicians. Send timely reminders to ensure compliance.
- Daily Communication: Send daily reminder emails regarding credentials, deadlines, or any HR-related matters.
- Payroll Processing: Input new employees into the payroll system accurately and efficiently.
- HR & Payroll Support: Handle all HR-related emails, inquiries, and payroll questions from employees.
- Data Entry & Compliance: Maintain accurate employee records and ensure compliance with HR policies and procedures.
- Manage and oversee a high-volume recruitment pipeline for Virtual Assistant roles, ensuring candidates move efficiently through each stage.
- Conduct structured interviews to assess communication skills, experience, technical proficiency, and overall fit.
- Maintain and track all applicants, interview stages, and hiring metrics using advanced Google Sheets.
- Ensure strict adherence to hiring deadlines and time-to-fill targets.
- Provide clear candidate endorsements and regular pipeline updates to leadership.
Requirements:
Proven experience in Human Resources, Payroll, or a related administrative role.
- Extreme attention to detail - nothing slips past you!
- Expert in Google sheets knowing formulas is a huge plus.
- Highly organized and capable of managing multiple priorities.
- Strong written and verbal communication skills.
- Proficiency in HR or payroll software (experience with [your payroll software name] is a plus).
- Ability to work independently while meeting deadlines consistently.
- Will be able to be on Webwork time tracker and on discord with a functional camera.
