The HR Specialist - Onboarding will support HR department and is responsible for daily administrative and HR duties. The role will consist of a wide range of support activities within the HR department, including but not limited to recruitment support, record maintenance, people engagement and clerical support. A successful candidate will have baseline HR knowledge, be able to multitask, work autonomously after being given direction, prioritize and provide excellent customer service to employees.
Duties and Responsibilities
- Welcoming newly hired employees and executing the engagement plan throughout the onboarding journey; managing the pre-employment & onboarding process, ensuring a great experience for new employees and a smooth start into their roles.
- Auditing data and setting up employee profiles in internal HR systems; assisting with the coordination, preparation, and distribution of employee documentation.
- Preparing and distributing bank account requirements and releasing payroll account ATMs.
- Cascade policies and introduce employee handbooks to new hire that explain company operations.
- Create modules and send communication with information about the company, onboarding agenda, dress code, parking options, perks and similar items.
- Hosting onboarding sessions or Conduct New Hire Orientation (NEO).
- Collecting data and updating of employee 201 files; assisting with the coordination, preparation, and distribution of employee documentation to stakeholders.
- Aligning new employees with managers and their team and communicating involvement procedures to all stakeholders.
- Serving as the primary point of contact for managers and newly hired employees on HR concerns.
- Providing reporting and project updates to Operation teams and/or senior management.
- Acting as a subject matter expert on New Hire Onboarding and making recommendations on how to improve process efficiency.
- Ensuring compliance with all processes and maintaining a high level of confidentiality at all times.
- Challenging status quo and proactively identifying process improvements by identifying innovative and creative new ways to onboard new employees/reach a more scalable and measurable onboarding experience.
- A minimum of 1 year experience in an HR administrative role
- Ability to work a flexible schedule but primarily mid-shift
- Ability to work successfully and professionally with all levels of employees and management.
- Ability to understand basic technical concepts and explain them in simple terms to new hires.
- Quick learner and has strong work ethic (reliable) with “can do” and collaborative attitude.
- Ability to basic troubleshoot, identify improvements, and make simple decisions independently.
- Strong team player with a results driven approach and who can work with limited guidance.
- Energetic person with strong interpersonal and communication skills, including active listening.
- Fluency in verbal and written communication
- Proficiency in Microsoft Office/Suite.
- Work Set-Up: Onsite
- Work Schedule: Day or midshift, depending on business need
- Physical Demands: While performing the duties of this job, the employee is occasionally required to move around the work area; Sit; perform manual tasks; operate tools and other office equipment such as computer, computer peripherals and telephones; extend arms; kneel; talk and hear.
- Mental Demands: The employee must be able to follow directions, collaborate with others, and handle stress.
- Work Environment: The noise level in the work environment is usually minimal.
