Job Summary:

Join a high-growth U.S.-based healthcare services company as a Lease Administration Support Specialist. In this pivotal role, you’ll process high volumes of inbound lease-related emails through Zoho, using established Standard Operating Procedures (SOPs) to process and respond to inbound emails, triage and tag tickets, and escalate items to senior team members as needed. This role is highly administrative and process-oriented, focused on timely response and accurate ticket handling. Duties and Responsibilities:

  • Manage inbound lease-related tickets in Zoho, ensuring timely response, triage, tagging, and assignment according to SOPs
  • Respond to inbound lease-related emails using SOP-based templates, ensuring Service Level Agreement (SLA) compliance
  • Route and assign tickets to internal stakeholders following established SOPs
  • Gather, organize, and submit supporting documentation for lease-related issues, including invoices and statements
  • Escalate items such as rent invoices, Common Area Maintenance (CAM) reconciliations, or demand letters to senior team members for review
  • Escalate complex or unclear issues appropriately while maintaining clear records of communication
  • Assist with Zoho ticket triaging, tagging, and progress tracking to ensure issues are closed efficiently
  • Collaborate with the Lease Administration and Accounting teams to maintain smooth operational workflows
  • Join regular team check-ins and coordinate daily with the assigned manager for prioritization and ticket delegation
  • Perform other related duties as assigned

Required Skills and Abilities:

  • Experience in administrative support, real estate operations, or lease administration
  • Excellent written and verbal communication skills in English; comfortable sending standardized email responses and escalating appropriately
  • Proficient in Zoho or similar ticketing systems; basic familiarity with Gmail and Google Workspace for account access
  • Ability to follow detailed SOPs and handle high volumes of repetitive tasks with accuracy
  • Highly organized and able to manage multiple inquiries and tasks simultaneously
  • Comfortable working independently in a remote setting with minimal supervision
  • Ability to work US hours, with flexibility once independently working in the role dependent on client preferences

Preferred Qualifications:

  • Familiarity with U.S. lease structures, commercial real estate terms, or landlord communication protocols
  • Previous experience supporting ticket platforms, inbox management, and SOP-based response workflows
  • Background working with fast-paced or high-growth U.S. companies in a support capacity

Job Type: Full-time
