We are looking for a Virtual Assistant to be the first point of contact for our clients and ensure they receive an exceptional experience from their initial inquiry to the conclusion of their matter. The ideal candidate will have outstanding communication skills, a client-focused mindset, and the ability to manage multiple priorities in a fast-paced law firm environment.
Key Responsibilities
Client Interaction:
- Act as the primary point of contact for prospective and existing clients via phone, email, and in-person interactions.
- Respond to inquiries, schedule consultations, and provide case updates with professionalism, empathy, and accuracy.
- Foster a welcoming and supportive environment, ensuring clients feel valued, informed, and confident throughout their experience.
- Prepare and send client messages, ensuring they are clear, concise, and reflect the firm’s professionalism.
Correspondence Management:
- Draft, proofread, and edit correspondence, including emails, letters, and other communications.
- Maintain consistency in tone and style across all written communications.
Scheduling and Coordination:
- Oversee attorney and team calendars, scheduling client appointments, court appearances, and internal meetings.
- Facilitate clear and timely communication among team members and external parties to ensure seamless coordination.
Administrative Support:
- Maintain and update client records in the firm’s CRM and case management systems with precision and
- confidentiality.
- Process intake forms, collect necessary documentation, and ensure all data is accurately entered.
- Assist with billing inquiries, payment processing, and related administrative tasks.
- Manage correspondence, including drafting letters and emails, and support calendar management.
- Design and implement automated workflows to improve efficiency.
Process Improvement:
- Identify and recommend strategies to enhance client service delivery and optimize operational workflows.
- Assist in marketing efforts by following up with leads, coordinating client feedback surveys, and supporting other initiatives aimed at client engagement and retention.
Qualifications
Experience:
- Minimum 2 years in a customer service, client relations, or administrative role in a law firm or professional services environment.
- Experience with case management systems or CRMs is highly preferred.
Skills:
- Exceptional verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Tech-savvy, with proficiency in Microsoft Office, Google Workspace, and scheduling tools.
Attributes:
- High level of emotional intelligence and the ability to handle sensitive client matters with discretion and care.
- Positive attitude and proactive problem-solving skills.
- Ability to work effectively under pressure and manage competing priorities.
Working Conditions:
- Fully Remote
- Must be amenable to night shift
Job Type: Full-time
Pay: From Php70,000.00 per month
