Job Overview
We are seeking a highly organized and proactive Personal Assistant to support executive-level management in a dynamic office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. This role offers an opportunity to contribute to efficient office operations while gaining valuable experience in administrative support.
Responsibilities
- Manage and maintain the executive’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling appointments and meetings efficiently.
- Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of company records.
- Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping duties as needed.
- Prepare correspondence, reports, and presentations utilizing Microsoft Office applications.
- Coordinate front desk activities, greet visitors, and manage office supplies inventory.
- Utilize DocuSign for electronic document signing processes.
- Support project management tasks by organizing files, tracking deadlines, and managing administrative workflows.
Requirements
- Proven clerical or administrative experience in an office setting.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and familiarity with Microsoft Outlook Calendar.
- Experience with QuickBooks and basic bookkeeping is preferred.
- Excellent typing speed and data entry skills for accurate record keeping.
- Exceptional phone etiquette and customer service skills for interacting professionally with clients and team members.
- Attention to detail for proofreading documents and maintaining precise records.
- Office experience including front desk responsibilities is highly desirable.
- Ability to work independently with minimal supervision while managing multiple priorities effectively.
