Reporting to Vice President (Human Resources), the successful candidate will be based in Singapore and be responsible for:
- The full scope of office and travel management matters in all operating jurisdictions, including budget and cost management.
- Managing the Office & Travel Management team to ensure integrity, teamwork, accountability, and efficiency.
- Establishing a pleasant, safe, and conducive working environment for all employees.
- Serving as a trusted gatekeeper of the Company’s travel policies while maintaining a positive experience for all travellers.
Office Facility Management
- Managing all office leases, including their negotiation and renewal.
- Coordinating office moves upon expiry of office leases, where required, in operating jurisdictions.
- Overseeing all office renovation and refurbishment projects.
- Sourcing, acquiring, and maintaining office equipment and supplies, to ensure that all office equipment is upkept and in good working condition.
- Establishing and driving adherence to Health & Safety policies and emergency procedures in all offices.
- Maintaining office security through appointed vendors.
- Designating car park lots for all office locations.
- Allocating workstations to employees.
- Managing storage of documents offsite.
- Collating data on electricity and paper usage for accurate ESG reporting.
Travel Management
Managing business travel, including processes and logistics.
- Ensuring that the travel schedule is updated on the Company Intranet by 6pm Singapore time every Friday.
- Ascertaining that the most effective and economical itineraries are obtained from the appointed corporate travel booking platform.
- Conducting checks to ensure that all members of the Office & Travel Management team adhere to policies & procedures to avoid any potential breaches.
- Collating data on travellers’ travel patterns for management reporting and ESG purposes.
Team Management
- Managing current team of three direct reports, two of whom are based in Singapore and one in London.
- Motivating team members, conducting performance conversations and reviews, co-chairing weekly team meetings, delegating responsibilities effectively, and serving as effective back-up when direct reports are on leave.
Others
- Planning and organising staff events.
- Overseeing applications and cancellations of corporate credit cards.
- Managing audit checks as required.
- Initiating and driving process improvement projects.
- Adhoc business projects.
- Other tasks as assigned by Reporting Manager, HOD, and/or CEO & MD.
Job Requirements:
- Minimum 8 years of work experience in Office Facility Management. Prior experience managing Business Travel will be an advantage.
- Diploma in Business Admin or Facility Management related fields.
- At least 5 years of effective team management experience.
- Strong communication skills (written & spoken) in English.
- Independent, detail-oriented, and organised.
