About the role

Reporting to the Head of Marketing – SEA & NA, the Marketing Operations Executive will primarily support the Penfolds Marketing team across SEA&NA (75% time allocation), while also providing operational assistance to the Global Marketing Director (25% time allocation) for Global Sales (SEA&NA, ANZ & EMEA) and Global Travel initiatives.

The Marketing Operations Executive plays a pivotal role in supporting the seamless execution of marketing initiatives across Penfolds’ regional and global markets. This role is responsible for managing operational processes, coordinating with cross-functional teams and ensuring marketing activities are delivered with precision, efficiency and strategic alignment.

Marketing Data & Reporting

  • Maintain and update the regional marketing calendar and project tracker, ensuring visibility and alignment across teams

  • Support with the preparation
    of monthly A&P reports, including data consolidation, analysis and insights generation to inform strategic decisions

  • Assist in the development of ad hoc marketing reports, providing timely and accurate data to support A&P performance tracking and stakeholder presentations

  • Maintenance and general housekeeping of shared drive: Reports, presentations and all other related documents

Budget & Vendor Process Management

  • Manage the end-to-end purchase order process, including raising POs, tracking approvals and ensuring timely vendor invoicing

  • Ensure compliance with internal finance and procurement policies, maintaining accurate records and documentation

  • Liaise with external vendors and agency partners to facilitate contract approvals, scope of work documentation and budget alignment

Brand and PR Events Support

  • Provide operational support for brand and PR events, including venue coordination, logistics planning, sample management and preparation of event materials

  • Collaborate with cross-functional teams to ensure smooth operational rollouts, managing timelines, deliverables and stakeholder communications.

Trade Marketing Support

  • New Product Development

  • Co-ordinate demand forecasts for new products using historical data, market trends
    and input from sales team

  • Collaborate with Global NPD team and Regional Demand Planning
    leads
    to ensure alignment with forecasted demand

  • Assist in planning and executing product launch

  • Monitor post-launch performance and provide insights for continuous improvement

  • Measurement and Evaluation

  • Gatekeeper for Regional Trade Marketing Activation Tracker - maintain and update the Monthly Regional Trade Marketing Activation Tracker with all planned and ongoing trade marketing activities with the support of local Trade Marketing teams

  • Support integration of Regional Trade Marketing tracker data with other planning dashboards

  • Provide insights on activation performance and ROI where applicable.

GWP and POSM Deployment

  • Coordinate the delivery and distribution of GWP and POSM assets, ensuring timely arrival and readiness for retail and event execution

  • Monitor inventory levels and liaise with Senior Customer Marketing Manager to ensure GWP and POSM materials are deployed effectively and aligned with campaign timelines

Team Operations Support

  • Provide ad hoc support for marketing projects and coordination tasks as required

  • Assist in organizing team planning sessions
    and follow-up actions where required

  • Contribute to team efficiency by
    identifying opportunities to streamline processes and improve operational workflows

About you

  • Bachelor’s degree with emphasis on marketing and busines
    s

  • 5+ years of experience in marketing operations and brand support
    specific to
    Luxury or FMCG industry

  • Strong organizational and project management skills.

  • Proficiency in Microsoft Office (Excel, PowerPoint, Outlook); experience with Power BI, JDE
    or similar systems is a plus

  • Excellent attention to detail and ability to manage multiple priorities.

  • Strong interpersonal and communication skills.

  • Excellent interpersonal and communication skills; a clear and confident communicator who can build and nurture strong relationships and work with cross-functional teams

  • Results oriented, a
    critical-thinker, strategic and problem-solver

  • Exceptional project management, planning and organisational skills

  • Strong work ethics and capabilities to persuade and influence internal and external stakeholders

  • Aptitude to work autonomously and self-regulate workflow and approvals as necessary
