Job overview:

We are seeking a dedicated Medical Office Assistant to join our healthcare team. The successful candidate will be joining an ophthalmology practice (subspecialty: vitreoretinal surgery) at the Ivey Eye Institute, St. Joseph's Hospital, London. Surgical retina practice is a high-volume and face-paced environment, which can be stimulating and rewarding for motivated individuals.

The ideal candidate will assist with various tasks to provide excellent patient care, including being responsible for administrative secretarial work in a medical office setting, providing assistance in clinic flow, and preparing patients to be seen by a physician.

Responsibilities include, but not limited to:

  • Administrative duties relating to managing the front desk, including patient registration, booking follow up, providing work note, etc.
  • Manage efficiency of the clinic flow by guiding patients into necessary rooms.
  • Prepare for upcoming clinics, including reviewing patient appointment schedules, ensuring availability of instruments and medications, planning clinic workflow.
  • Keeping clinic rooms clean and tidy before and after each clinic and in-between patients.
  • Preliminary patient workup, including patient history, medications, conducting visual acuity measuring intraocular pressure, instilling eyedrops (training is provided), etc.
  • Use hospital Electronic Medical Record (EMR) to ensure optimal patient care.
  • Contacting patients at least a week prior for upcoming clinics and surgical booking.
  • Pre-operative paperwork and EMR registration for preparing patients undergoing surgery.
  • Provide pre-operative and post-operative surgical counselling.
  • Day to day hours may differ: clinic days are expected to be longer (eg 7:30AM-4:30PM or 9AM-6PM; 1 hour break) than non-clinic days (eg 7AM-12PM or 12PM-5PM). Average number of hours per week: ~30-40 hours.
  • On the days without clinic, expected to perform other general office-related duties, including office paperwork, maintaining office inventory (supplies and medications), referral triaging, scheduling/confirming appointments, contacting other offices for referrals (phone, email, fax), surgical booking, etc.
  • Other administrative duties as required.
  • Always maintain professionalism and patient confidentiality.

Qualifications:

  • Immunization requirements, as required by the Occupational Health at St. Joseph's Hospital, including proof of vaccination or immunity to measles, mumps, rubella and varicella (chicken pox). TB skin test and COVID vaccinations required.
  • Background in medical office administration, ophthalmic technician, or similar healthcare diploma/degree is an asset.
  • Experience in a medical setting as an office administrator or ophthalmic technician is an asset.
  • Familiarity with ophthalmic medical knowledge is an asset.
  • Familiarity with Cerner EMR is a plus.
  • Comfortable with computers and good typing skills.
  • Excellent communication skills and professional bedside manner.
  • Maintain efficiency and accuracy in a face-paced and high-volume environment.
  • Strong work ethic, punctuality and good attendance record.
  • Self motivated and eager to learn new skills.
  • French not required.

Schedule:

  • Monday-Friday (hours will vary day to day)
  • Overtime if needed
  • Vacation: 2 weeks per year; to be taken when the office is closed.

Work location: In person at the Ivey Eye Institute, St. Joseph's Hospital, London

Expected start time: January 2024
