Office Manager

Office Manager - €45,000 per annum - Cork, Ireland

About Us

We are a well established electrical contracting company based in Cork, employing 17 professionals and servicing Cork City and surrounding areas.

Due to continued growth, particularly within Solar PV installations, we are seeking an experienced and proactive Office Manager to oversee operations, finance, and compliance, ensuring the smooth running of the business.

The Role

You will take ownership of the office function and play a key role in supporting business performance, financial control, and operational efficiency.

Key ResponsibilitiesOffice and Operations

  • Manage daily office operations and act as the primary point of contact for clients, electricians, suppliers, and regulatory bodies
  • Coordinate scheduling and workflow for a team of 12 electricians using ServiceM8
  • Monitor job progress and ensure accurate job tracking and reporting
  • Maintain compliance documentation including electrical certification records
  • Oversee onboarding of new employees including paperwork and system setup
  • Support marketing initiatives and manage social media updates
  • Identify and improve administrative systems and processes

Finance and Accounts

  • Manage invoicing, purchase orders, and supplier payments using Xero
  • Perform bank reconciliations and maintain accurate financial records
  • Monitor cashflow and prepare financial reports for management
  • Manage aged debtors and creditors and follow up on outstanding payments
  • Prepare and submit VAT returns
  • Support payroll administration including timesheets, expenses, and pension contributions
  • Assist with year end preparation for external accountants
  • Support budgeting and cost control procedures

Solar PV and Compliance

  • Prepare and submit SEAI grant applications and supporting documentation
  • Process and manage NC6 applications with ESB Networks
  • Maintain accurate records for renewable energy installations and regulatory compliance

Experience and Skills Required

  • Proven experience in office management, senior administration, or financial assistant role
  • Experience within electrical, construction, trades, or service based industries desirable
  • Strong working knowledge of Xero or similar accounting software
  • Experience using ServiceM8 or similar job management systems
  • Understanding of Irish VAT, payroll processes, and financial reporting
  • Experience handling SEAI and NC6 applications desirable
  • Excellent organisational and communication skills
  • Strong attention to detail and ability to work independently
  • Proficient in Microsoft Office and digital systems

Working Hours

  • Monday to Friday
  • 8:00am to 4:30pm
