- Enrolls new employees for pay, benefits, absence reporting and sets up all banking information.
- Calculates, prepares, processes and validates all payrolls from source materials.
- Runs the payroll process. Balances all earning and hours from documents to the system total report. Ensures all adjustments are entered into the system for payment.
- Prepares payroll cheques and payroll deposit slips for distribution. Records all cheques, deposit numbers and amounts into the log book for fund transfer.
- Runs adjustment cheques due to errors or late payments and ensures all appropriate actions are taken.
- Calculates retroactive adjustments as required.
- Processes and monitors overpayment process, including contacts employees as required
- Processes Payroll Labour Redistribution.
- Monitors absence reporting, ensures vacation and other leaves are not in a negative position.
- Performs year-end vacations, other absences, salary and benefits liabilities accruals.
- Responds to inquiries from employees and external contacts on a wide variety of payroll matters.
- Performs annual payroll balancing at year-end for T4 preparation. Ensures CPP and EI deductions are correct based on insurable earnings.
- Prepares T4As, honorariums and other non-union payments as required.
- Advises and assists employees with completing government documents and processes TD1s as required.
- Reconciles benefit accounts and processes payments as required.
- Ensures all deductions are processed correctly according to changes in premium rates.
- Ensures taxable benefit cost adjustments, and leave entitlements are correctly updated in the Banner system.
- Maintains and tracks benefit premiums payments from employees on leave, if applicable, and follows-up with employees, as required regarding adjustments or outstanding payments.
- Calculates pension buy back as required.
- Prepares and maintains a variety of records, forms and files.
- Periodically assumes some informal supervisory responsibilities.
- Performs other related duties as required.
- Grade 12 completion, plus 2-3 years of post-secondary education including specialized training in Accounting and Canadian Payroll Association (CPA) courses, plus 2-4 years’ computerized payroll experience in a large multi-union setting or an equivalent combination of training and/or experience may be substituted for the required qualifications.
- Proven interpersonal skills with the ability to work collaboratively as a member of a team and to establish and maintain effective working relationships with students, staff, faculty, and external contacts.
- Strong organizational and time management skills with the ability to prioritize and manage several time-sensitive tasks at any given time. Able to function professionally and calmly during periods of high stress.
- Ability to calculate Gross and Net pay for employees by referring to CCRA tables and formulas, complete payroll journal entries and charge salary and benefit expenses to appropriate G/L accounts.
- Considerable knowledge of the methods, practices and procedures employed in the preparation and processing of payrolls.
- Working knowledge of benefits policies, reconciliation and regulations for required enrolments and changes made to records.
- Sound knowledge of the statutes, rules and regulations governing the work performed and familiarity with the nature of collective agreements.
- Computer experience and proficiency with word processing and spreadsheet programs.
- Knowledge of office practices, procedures and record keeping.
- Ability to perform mathematical calculations and data entry with speed and accuracy.
- Ability to understand and check payroll transactions.
- Excellent oral and written communication skills.
