Personal Assistant

REDSTONE HOMES LIMITED is seeking a proactive and well-organised Personal Assistant to provide high-level administrative and operational support in our business based in Papakura, Auckland. This role is integral to ensuring the smooth day-to-day functioning of management operations and supporting the successful delivery of construction projects.

The Personal Assistant will be responsible for the following duties:

  • Address assigned tasks and respond to staff and site-based inquiries to ensure smooth day-to-day office and construction operations.
  • Coordinate and manage the director’s schedule, prioritising construction-related tasks, site meetings, and project deadlines to maximise efficiency.
  • Oversee invoicing processes related to residential construction projects, ensuring accuracy, timely issuance, and proper record-keeping.
  • Support the timely preparation of financial, project progress, and operational reports for management review.
  • Manage incoming calls, emails, and correspondence on behalf of the director, including communication with clients, contractors, suppliers, and council representatives.
  • Act as a key liaison between the director, staff, site supervisors, subcontractors, and external stakeholders to ensure clear communication.
  • Assist in developing and implementing operational and project coordination plans to improve efficiency across building projects.
  • Plan, organise, and manage the director’s appointments, including site visits, client meetings, inspections, and internal meetings.
  • Ensure compliance with health and safety requirements across office and construction site activities, maintaining relevant documentation where required.
  • Maintain strong relationships with suppliers and subcontractors, managing purchase orders, invoices, and supporting documentation.
  • Assist with the coordination of daily business and construction operations to support timely delivery of residential builds.
  • Respond promptly to staff and site team queries to support effective internal communication and issue resolution.
  • Represent the director in meetings with clients, suppliers, or contractors when required, ensuring continuity of communication.
  • Perform additional administrative and coordination tasks related to residential building and construction projects as assigned by the director.

The candidate will be required to work at least 30 hours per week and be paid between $32 and $37 per hour, subject to skills and requirements.

Other important requirements:

  • Suitable candidates should hold either a relevant Level 6 qualification or at least 2 years of relevant work experience.
  • Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.
  • Attention to detail and a high level of accuracy in work.
  • Ability to work independently as well as part of a team.
  • Hardworking individual.
  • Detail oriented.

Job Types: Full-time, Permanent

Pay: $32.00 – $37.00 per hour

Work Location: In person
