Job Title: Personal Assistant
Permanent, Full Time Position (39 hours per week)
Location: Rehab Group, 10D Beckett Way, Parkwest, D12 K276
Hybrid: 4 days in the office, 1 at home. Flexibility is required.
About the Role:
The Rehab Group is seeking a Personal Assistant to the Director of Finance. The Personal Assistant will be required to provide proactive support to the Director and Deputy Director of Finance. Providing support in the day-to-day running of this large organisation including the provision of full secretarial, administration, project coordination and support services. The personal Assistant will also communicate with others both internally and externally whilst managing busy diaries and schedules. The role requires an assistant who can work both on their own initiative, as well as part of a team.

Your Responsibilities:
- Act as primary point of contact for the Director and support the work of the Financial Controllers and Finance Operations. Develop and maintain a professional and dynamic overall executive support function for the Director acting as an internal liaison between the Director and team/company employees/clients and manage information flow.
- Liaise with a wide range of internal and external contacts.
- Manage all communications on behalf of the Director with various external organisations, internal team members and colleagues.
- Assist the Director with preparation for a range of representational engagements; Format information for internal and external communication – memos, emails, presentations, reports.
- Manage all secretarial and administrative responsibilities on behalf of the Director; manage diaries and arrange their daily schedule (set up meetings, travel, speaking engagements etc.). Ensure the preparation of agendas and meeting papers, collating information for circulation, ensuring all papers are circulated in a timely manner, attending all meetings, preparing minutes of meetings, follow up on outcomes and actions and maintaining formal and accurate records of all documentation.
- Preparation of various briefing materials for the Director in advance of meetings and events, involving the collation of a variety of information from different sources, and ensuring that they are fully prepared for all such events.
- Gathering and updating Finance Intranet content.
- Internal Audit recommendations & risk administration.
- Supporting Finance Transformation Project, in particular Finance Operations Purchase to Pay.
- Supporting HQ Budget Management and administration of Purchase Orders.
- Backfill for Finance Operations Expenses Admin where necessary.
- General office management, including ordering office essentials and storage.
- Reviewal and distribution of post, flagging critical issues.
- Such other duties, in line with the role, as required by the Director of Finance.
Additional Requirements:
- Educated to diploma/certificate level (a relevant Finance related discipline desirable)
- Microsoft Office 365 suite expertise
- Confident, motivated self-starter
Salary: Dependent upon experience
