Job Description
Reporting to the VP Itinerary Planning, the Port Coordinator is responsible for supporting the preparation, coordination, and execution of marine and port coordination across the Orient Express Sailing Yachts fleet.
He/she/they ensures safe, efficient, and compliant voyage and port coordination that reflects the brand’s standards of excellence and guest experience.
Main Responsibilities:
Voyage & Port Planning
- Support itinerary preparation, verification of nautical, technical and operational feasibility , including route analysis , port analysis.
- Supports and or communicates itinerary changes and itinerary information effectively to shore side and shipboard partners
- Manages Port Agency relationships
- Responsible for updating Itinerary, Port & Agent and Pre-Arrival information, Port Costs in all IT systems ( MXP)
- Responsible for creating routes for onboard team
- Responsible for integration of all port infrastructure, facilities and information as well as vessels details into IT Systems
Port Operations & Budget Management
- Prepare port call documentation, berth requests and coordination with local agents.
- Communicate and negotiate best possible options for our vessels (alongside or anchoring) as well as port costs
Liaison & Coordination
- Serve as the operational interface between the ships, port agents, and the company’s shore teams.
- Ensure proper follow-up of port calls, including operational reports and post-call evaluations.
Operational Performance & Optimization
- Prepare efficiency indicators and prepare monthly cost and port analysis .
- Identify and suggest improvements to voyage planning, ports and budget.
- Set up the implementation of digital tools for voyage monitoring and port coordination.
Qualifications
- Solid understanding of port operations, voyage planning, and marine logistics, preferred with seagoing experience on cruise or passenger vessels
- Familiarity with international maritime and port regulations.
- Proficiency in IT , ship tracking or navigation software (mandatory MXP knowledge)
- Advanced proficiency in Excell , data analysis; complex speadsheets; budget tracking
- Strong expertise in cost control and budget manage,ent
- Excellent negotiation skills; particularly with partners and suppliers
- Proven Negociation and coordination skills.
- Excellent world-wide geographical knowledge
- Analytical and financial
- Fluent English (written and spoken)
Education & Experience:
- Certificate of Competency as Officer of the Watch (OOW) or equivalent maritime qualification.
- Prior professional experience as Deck Officer on board cruise vessels or in shore-based marine operations.
- Experience in an operational, administrative, or technical shore-based role within a shipping company is an advantage.
