Duties and Responsibilities:

· Coordinate the day-to-day operations of multi-family residential apartment buildings, ensuring smooth and efficient property management activities.

· Act as a primary point of contact for tenant enquiries, concerns, follow-ups, and issue resolution, maintaining timely and professional communication.

· Support leasing activities, including vacancy coordination, tenant onboarding, lease documentation, and record management.

· Coordinate maintenance requests and repairs by liaising with vendors and contractors, tracking work orders, and ensuring timely completion.

· Monitor preventative maintenance schedules and maintain accurate maintenance records.

· Track rent payments, outstanding balances, and collection follow-ups, ensuring accurate and up-to-date financial and operational trackers.

· Assist with basic financial calculations, reconciliations, and reporting related to property income and expenses.

· Support compliance-related tasks in line with US and NYC residential real estate requirements, including notices, documentation, and regulatory coordination.

· Maintain organized digital files, records, and workflows to ensure operational transparency and continuity.

· Coordinate closely with remote team members and third-party service providers to manage competing priorities effectively.

· Identify operational inefficiencies and recommend improvements to workflows, systems, and processes.

· Gradually assume greater operational ownership to reduce direct management involvement in daily property operations.

Skills / Qualifications:

Qualifications

  • Bachelor’s degree or equivalent work experience in real estate, business administration, operations, or a related field.
  • Prior experience in US-based or NYC multi-family residential property management is high preferred.
  • Demonstrated experience dealing directly with residential tenants and tenant-related concerns.
  • Exposure to one or more of the following areas:
  • Property or operations coordination
  • Maintenance and vendor management
  • Leasing and tenant onboarding
  • Rent tracking and collections
  • Compliance or legal documentation support
  • Experience working remotely with US-based clients or teams is an advantage.

  • Strong organizational and multitasking abilities with the capacity to manage multiple properties and priorities simultaneously.
  • Assertive, confident, and professional communication skills for interacting with tenants, vendors, and stakeholders.
  • Strong problem-solving and negotiation skills, particularly in resolving tenant or maintenance-related issues.
  • High attention to detail, especially when handling numbers, financial tracking, and documentation.
  • Ability to work independently, take ownership, and operate with minimal supervision.
  • Comfortable working under pressure in a fast-paced, remote environment.
  • Proficient in digital tools and systems used for remote operations and record management.
  • Strong time management skills and ability to work US Eastern Time hours.
  • Would agree to use a time tracker (Teramind)
  • Can cover on weekends for emergencies and business continuity
