Job Title: Sales & Project Coordinator
Location: Mission, BC
Reports To: Operations Manager
Schedule: Monday to Friday, 10am to 6pm (with flexibility required for coverage)
Position Overview:
The Client Relations & Project Coordinator is responsible for assisting in the management and coordination of road safety and construction projects. This role will support the planning, execution, and monitoring of projects related to road safety and dispatch operations. The successful candidate will work closely with project teams, contractors, vendors, and stakeholders to ensure that projects are completed on time, within budget, and to the required quality standards.
Key Responsibilities:
Project Coordination:
- Assist in the coordination of road safety and construction projects from inception to completion.
- Answer calls and emails from clients and field team members.
- Coordinate with internal teams, contractors, and external partners to ensure timely delivery of project milestones.
- File dispatch program reports and forms, communicating findings with Operations.
- Perform various administrative duties, including data entry (e.g., new hires and clients) into the dispatching program.
- Relay information to and gather information from the field team (e.g., reminders, information, changes, weekend availability).
- Prepare project documentation, reports, and progress updates.
- Track project progress and identify potential delays or issues, working to resolve them proactively.
- Meet client requirements for traffic control, information, issues, and safety concerns.
- Contact clients for additional traffic control needs to maximize field team utilization.
- Reassign field team members as required (e.g., time-off requests, sick days, no-shows, client needs, field team skills) and utilize subcontractors when necessary.
- Assess current dispatch overview to ensure adequate field team coverage for optimization.
- Understand and utilize Traffic Management Plans to ensure accurate dispatch.
- Attend safety meetings if required or discuss improvements that can be made to the field team.
- Support the Health & Safety program and social planning
Client Relations:
- Serve as a liaison between internal teams, clients, contractors and assist with customer service concerns.
- Strategize supporting clients with their budgets and monitor resource utilization to avoid overages.
- Provide pricing or service agreements to clients upon request.
- Assist with challenging client requests or issue escalations as needed.
- Coordinate with the Dispatch Team and the TMP Department to determine needs with existing clients.
- Maintain accurate and up-to-date project records, including contracts, permits, and approvals.
- Stay current on emerging companies, major projects, and industry trends, and share intelligence with Sales and Operations.
- Lead and drive forecasting for peak seasons.
- Assist Senior Management with developing strategies, presentations, and proposals for existing clients.
- Record and track all metrics related to sales strategies; review and develop client service and retention plans.
- Communicate client concerns on service and delivery to Operations during meetings to ensure standards are met.
- Identify new clients in the region through online searches, scouting, and referrals.
- Input client activities into the CRM system to help plan, prioritize, and assist cross-department efforts.
Skills & Qualifications:
- 2-3 years of experience in project coordination and customer service, preferably in construction or road safety industry.
- Familiarity with CRM software and tools for tracking budgets, schedules, and resources.
- Comprehensive knowledge of Traffic’s products and services.
- Strong organizational and time management skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work effectively in a fast-paced environment and manage multiple tasks.
- Knowledge of road safety standards and construction industry best practices.
- Valid driver’s license preferred as this position is based in the office with occasional site visits.
