As a core member of our Projects and Governance team (PGT), you will be working with some of the industry’s most accomplished professionals to deliver award-winning services for complex fund structures that our clients can depend upon.
As a member of PGT and reporting to the Project Manager, the Senior Project Coordinator is part of a global team supporting Citco Fund Services (CFS) Operations. This role will entail working with management and various teams across Citco, and be responsible for the oversight and/or execution of assigned projects. This role will require adaptability along with strong analytical, communication and time-management skills as assignments will be varied with competing deadlines, at times requiring a quick turn-around.
PGT is charged with providing multiple CFS Lines of Business units (Hedge Fund, CAIS, Private Equity, Real Estate, Investor Relations, and Ancillary Services) with project management governance when executing initiatives that benefit the larger CFS Organization. PGT provides a structured framework and management information, allowing for timely escalation of issues and risks that impact the success of the initiatives. Key oversight includes Global Location Strategy, Headcount Capacity Tracking, which feeds Finance Budget and Forecasting, and support of tools that provide risk mitigation opportunities (i.e., SDLP, Tibco Workflow Tool on-boarding, Operational Risk Log).
Your Role:
- Initiate projects under the guidance of the Lead Project Coordinator and/or Project Manager by defining scope, tasks, timelines and identify and managing stakeholders, primarily Project Sponsor(s) and Senior Management for the various projects to be undertaken.
- Work along with the Lead Project Coordinator and/or Project Manager to execute projects independently by displaying sound judgement and proactively managing risk and issues
- Provide critical support on assigned projects, managing expectations and communicating delays on projects to the Project Lead and/or Project Manager
- Support the Lead Project Coordinator and/or Project Manager with the end-to-end execution of small to medium sized projects by ensuring that project plans are developed and implemented, inclusive of the below:
- Assisting with the definition of business plan, ensuring scope of project is clear, information is gathered from appropriate stakeholders and sign-off is obtained
- Assisting with identifying and documenting detailed requirements for initiatives
- Developing and tailoring the communication plan appropriately for each stakeholder group
- Ensuring project schedules are completed and maintained
- Ensuring risks and issues are identified, tracked and escalated to Lead Project Coordinator and/or Project Manager and Stakeholders
- Perform feasibility studies or cost-benefit analysis as required
- Conduct post project reviews, documenting lessons learned
- Track project progress against defined milestones
- Follow standard PGT Project Management Office (PMO) procedures and tools to manage projects to successful completion
- Collaborate with PGT resources in various locations and time zones to enhance and refine standard PGT PMO procedures and/or implement new tools
About You:
- You have a bachelor level degree
- 1 -3 years in project management roles, preferably in financial domain, and/or operational experience in financial domain with increasing responsibility
- Self-starter who can demonstrate taking initiative and ownership in current role
- Excellent communication, time management, organizational and presentation skills
- You possess advanced MS Office suite skills
Assets/Nice to haves:
- You are CAPM Certified and/or pursuing PMP certification
- Experience with agile delivery methodologies and/or continuous improvement methodologies
- Experience with Project Server, Smartsheet, SharePoint, Qlik, Jira and/or Confluence
- Understanding of how ERP, BPM, CRM and BI tools operate
